Job Details

Reporting to the Accounts Receivable Supervisor, the Accounts Receivable Specialist is responsible for maintaining the accounts receivable process and performing a variety of accounting and administrative duties. This role records customer payments, processes invoices and statements, and delivers professional service to both internal and external customers. The specialist will also assist with special projects and perform additional responsibilities as needed.

Responsibilities
  • Apply customer payments accurately on a daily basis.
  • Post electronic payments as needed.
  • Process customer invoices and statements in accordance with established procedures.
  • Process, post, and apply credit and debit memos.
  • Communicate with domestic and international customers via phone and email regarding outstanding accounts.
  • Evaluate customer creditworthiness using available financial information, credit references, and commercial credit reports.
  • Review customer orders to ensure compliance with established credit approval procedures.
  • Review customer orders on credit hold and determine appropriate action prior to shipment.
  • Organize and maintain records in accordance with document retention requirements.
  • Communicate effectively with employees across all levels of the organization.
  • Identify opportunities to improve processes and recommend enhancements.
  • Provide backup support for accounts payable functions.
  • Complete month-end accounts receivable activities.
  • Attend required meetings and training sessions.
  • Follow all workplace policies and safety procedures.
  • Perform other duties as assigned.

Qualifications
  • High school diploma or equivalent required.
  • Minimum of three years of accounts receivable or related accounting experience obtained through education or professional experience.
  • Working knowledge of office administration, bookkeeping procedures, general accounting principles, and relevant business software.
  • Ability to communicate effectively with diverse audiences while maintaining confidentiality and meeting deadlines.
  • Strong written, verbal, mathematical, and problem-solving skills.
  • Excellent organizational skills with strong attention to detail and accuracy.
  • Ability to prioritize tasks and manage multiple responsibilities in a fast-paced environment.
  • Ability to work both independently and collaboratively within a team.
  • Proficiency in Microsoft Office, including advanced working knowledge of Microsoft Excel.
  • Results-driven with strong ethical standards and professional integrity.
