    Description

    The AR Coordinator - Special Assessments is responsible for the accurate setup, maintenance, and reconciliation of special assessment accounts

    across a portfolio of residential associations. This role manages the full lifecycle of special assessment activity, including project setup, account

    cleanup, payment posting, collections approval coordination, ledger review, and Zendesk ticket management. The Coordinator works closely with

    internal teams to ensure timely resolution of inquiries and requests while maintaining accurate homeowner records and adhering to established

    service standards.

    Essential Duties & Responsibilities

    Essential Duties:

    Account Setup & Maintenance

    • Set up special assessment billing and verify that billed amounts align with the approved budget.
    • Perform special assessment account cleanup and maintenance to ensure accurate and up-to-date homeowner records.
    • Apply paid-in-full special assessment charges and ensure account records are updated accurately upon receipt.
    • Process reclassification adjustments and transfers between Operating (OPR) and Special Assessment (SPA) accounts, as applicable.

    Reconciliation & Account Research

    • Review and reconcile accounts with a special assessment to ensure all transactions are accurately recorded and balances are current.
    • Conduct detailed ledger reviews and account research to identify discrepancies and support resolution.
    • Reconcile special assessment accounts and resolve account discrepancies in a timely and accurate manner.
    • Perform special assessment reconciliations to support period-end reporting and audit readiness.

    Collections & Approvals

    • Support the collections approval process for accounts with a special assessment, ensuring accounts are reviewed and escalated in

    accordance with established policies and timelines.

    • Coordinate with the collections team to ensure delinquent special assessment accounts are actioned appropriately and records are

    maintained accurately.

    Payment Processing

    • Post special assessment payments including checks, wires, and onsite deposits accurately and in a timely manner.
    • Verify payment application to ensure special assessment balances are correctly reduced and records reflect current account status.

    Communications & Ticket Management

    • Coordinate and distribute special assessment announcements and communications to homeowners and relevant stakeholders as

    required.

    • Create and manage tickets for bank transfer requests and stop recurring charge requests.
    • Respond to and resolve Special Assessment inquiries, ensuring all tickets are accurately documented and completed within established

    service standards.

    • Collaborate with internal teams to facilitate timely resolution of special assessment requests and inquiries.

    Additional Duties:

    • Practices and adheres to FirstService Residential Global Service Standards.
    • Always conducts business with the highest standards of personal, professional and ethical conduct.
    • Performs or assists with any operations required to maintain workflow and to meet schedules.
    • May participate in any variety of meetings and work groups to integrate activities, communicate issues, obtain approvals, resolve problems

    and maintain a specified level of knowledge pertaining to new developments, requirements, policies, and regulatory guidelines.

    • Follows all policies and Standard Operating Procedures as instructed by Management.
    • Performs any range of special projects, tasks and other related duties as assigned.

    • Strong verbal and written communication skills.
    • Demonstrates thoughtful leadership in creating efficiencies and process improvements.
    • Detail oriented and strong organizational skills and multi-tasking skills.
    • Project management experience with focus on process improvement
    • Must have strong proficiency in Windows and Microsoft Office, including but not limited to word processing, spreadsheet maintenance,

    navigating in databases, record keeping and researching the Internet.

    • Ability to work with sensitive or confidential information.
    • Ability to meet deadlines and work well under pressure.
    • Ability to work in a team environment as well as independently and be self-driven
    • Critical thinking, financial acumen, problem solving and decision-making abilities.

    Tools & Equipment Used

    Computer and peripherals, standard and customized software applications and tools, and usual office equipment.

    Physical Requirements & Working Environment

    This position works under usual office conditions. The employee is required to work at a personal computer as well as be on the phone for

    extended periods of time. Must be able to stand, sit, walk and occasionally climb. The incumbent must be able to work extended and flexible hours

    and weekends as needed. Physical demands include ability to lift up to 30 lbs.
