AR & AP AnalystNoovo | Las Vegas, NV | Full-Time, On-Site
Noovo builds premium Class B camper vans, custom-configured for people who want life on the road with real comfort and craftsmanship. As production scales, we’re tightening the accuracy and discipline of how money goes out and comes in.
You’ll be the checkpoint between a captured invoice and an approved payment. AI-assisted intake in Cashflow360 handles capture and initial coding. Your job is the judgment: Was it received? Does the price match what we negotiated? Are we owed a credit? Every bill leaves your desk approved, disputed with a documented reason, or held with a named owner and a clearing date. Nothing sits in limbo.
You’ll bring the same discipline to receivables: accurate customer invoices, deposits tracked against each build, and aging worked actively.
You’ll report to the Director, Finance & Accounting (to ownership and our fractional CFO team until that role is filled), and work daily with purchasing, receiving, warehouse, production, and sales. The role is on site because many answers come from walking down a receipt on the floor.
What you’ll do
Review AI-captured invoices for vendor, amount, terms, tax, coding, PO reference, and duplicates, and correct capture errors.
Three-way match POs, receipts, and invoices in Odoo, and investigate exceptions to root cause (quantity, price, unit of measure, partial shipments, late or missing receipts).
Make and document the approval decision on every bill, route items needing higher approval, and escalate anything outside policy.
Identify credits owed (overbilling, short shipments, returns, damage, duplicates), confirm details with purchasing, and chase credit memos to receipt and application.
Own vendor communication on disputes, reconcile vendor statements, and flag repeat offenders to purchasing.
Issue customer invoices tied to build milestones and delivery, track deposits against each vehicle, and apply them correctly on delivery.
Work the AR aging, own collections with customers and dealers, apply cash, and escalate collection risk early.
Prepare a recurring payment proposal that separates approved invoices from those under investigation, with status on each open item.
Keep data clean and reconciled across Odoo, QuickBooks Online, and Cashflow360, including subledgers, received-not-invoiced, and vendor and customer master data.
Support month-end close: AP and AR reconciliations, accruals for held invoices, prepaid balances, credit card reconciliations, and 1099s.
Track recurring match failures by root cause and help fix them upstream, and document purchase-to-pay and order-to-cash procedures.
