AP Specialist

Our client is seeking a detail-oriented and proactive AP Specialist to join their Accounting team. This role is ideal for an AP Specialist who enjoys working in a fast-paced environment, has strong attention to detail, and wants the opportunity to take on responsibilities beyond traditional accounts payable.

Key Responsibilities

• 
  
• Process and review invoices across multiple states, ensuring accuracy, completeness, proper coding, and appropriate sales and use tax application.
• 
  
• Monitor invoices processed through automated AP software, researching and resolving items flagged for review.
• 
  
• Review vendor statements, research payment status, identify missing invoices, and follow up with vendors as needed.
• 
  
• Respond to vendor inquiries, resolve discrepancies, and help expedite payments when necessary.
• 
  
• Manage sales and use tax responsibilities for multiple divisions and provide backup support for tax return preparation.
• 
  
• Review accounting transactions for errors, inconsistencies, and unusual activity, researching issues and making necessary corrections.
• 
  
• Assist with internal audit and accounting review activities to ensure accuracy and compliance.
• 
  
• Sort, scan, and process invoices received through mail and ensure they are routed appropriately.
• 
  
• Collaborate with the Accounting team to improve processes, resolve issues, and maintain accurate financial records.

Requirements

The ideal AP Specialist will have:

• 
  
• 2–3 years of accounts payable or related accounting experience.
• 
  
• Experience with multi-state AP and sales and use tax is strongly preferred.
• 
  
• Strong attention to detail and analytical/problem-solving skills.
• 
  
• Ability to research discrepancies and identify errors.
• 
  
• Proficiency with basic Excel formulas.
• 
  
• Strong organizational and communication skills.
• 
  
• Ability to manage multiple priorities in a fast-paced environment.
•
