    ANTARCTICA: Gateway Transition Coordinator

    Program Summary

    The National Science Foundation (NSF) manages the United States Antarctic Program (USAP). The USAP supports all U.S. scientific research and related logistics in Antarctica and aboard USAP vessels that operate along the continental margin and in the Southern Ocean. Science within the Antarctic research portfolio is chosen and funded by NSF and other Federal agencies, including NASA, NOAA, and the Department of Energy. The purpose of the Antarctic Science and Engineering Support Contract (ASESC) is to enable that science.

    All participants are responsible for maintaining a safe workplace and ensuring that safety is the highest priority. This includes compliance with all ASESC environmental health & safety, and quality assurance requirements.

    Job Summary

    The Gateway Transition Coordinator provides administrative and coordination support for transition activities across the program's three gateway locations: Christchurch, New Zealand; Punta Arenas, Chile; and Port Hueneme, California. This role is responsible for maintaining schedules, tracking actions and documentation, supporting stakeholder communication, and ensuring transition activities remain organized and on track across multiple locations and time zones.

    Roles and Responsibilities

    • Provide administrative support for gateway transition activities across all three gateway locations.
    • Maintain schedules, action-item tracking, and document control for gateway transition leads.
    • Coordinate meetings, prepare materials, and document meeting outcomes and follow-up actions.
    • Support reporting and communication efforts across multiple time zones and stakeholder groups.
    • Ensure transition documentation is accurate, current, and properly maintained.
    • Assist with tracking milestones, deliverables, and transition progress.

    Basic Qualifications

    • U.S. citizenship and the ability to pass a National Agency Check with Inquiries (NACI) background investigation.
    • Bachelor's degree in Business Administration, Logistics, Project Management, or a related field; equivalent experience may be considered in lieu of a degree.
    • 2+ years of administrative, project coordination, logistics, or operational support experience.
    • Experience managing schedules, documentation, and action-item tracking.
    • Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
    • Strong organizational skills and attention to detail.
    • Ability to manage multiple priorities in a fast-paced environment.
    • Excellent written and verbal communication skills.
    • Ability to work effectively with stakeholders across multiple locations and time zones.

    Preferred Qualifications

    • Experience supporting international operations, logistics, transportation, or transition programs.
    • Familiarity with document control, reporting, and administrative coordination processes.
    • Experience coordinating meetings and supporting cross-functional teams.
    • Experience working with geographically dispersed or global organizations.
    • Knowledge of project coordination or transition management activities.
