Job Description:
EWPS is seeking a highly qualified and experienced Administrative Assistant to the Director of Special Education who is fluent in processing requisitions and tracking p.o.s for multiple accounts and has experience with the data management process in CT-SEDS. The ideal candidate is fluent with Google Sheets and/or Excel, is organized, flexible, has excellent attention to detail and math skills, is able to multi-task, problem solve, work efficiently and effectively, has excellent attendance, and maintains professional demeanor at all times.

- Hourly compensation $27.06 - $37.64, based on experience and the wage table in the current collective bargaining agreement
Essential Duties and Responsibilities:
- Processing multiple requisitions and tracking purchase orders in Munis for all special education accounts.
- Data management in Connecticut-Special Education Data System (CT-SEDS): Child Count, Restraint/Seclusion (Civil Rights Data Collection report)
- Work collaboratively with Registrar and PSIS person to process students in CT-SEDS transitioning in/out of special ed and 504 from district to district and within the district.
- Coordinate medicaid billing across the district with staff and submit required reports to Relay.
- Attend monthly CT-SEDS Data Manager meetings with SDE.
- Run reports in CT-SEDS as requested by the Director of Special Education.
- Schedule all out of district Planning and Placement Team (PPT) meetings and 504 meetings including magnets and vo-ag within mandated timelines. Create corresponding PPT invites in CT-SEDS.
- Work collaboratively with B-3 Coordinator and Director of Special Education to process Referrals and Initial Referrals in order to meet mandated timelines.
- Schedule special transportation for IEP and 504 students for Regular School Year (RSY) and Extended School Year (ESY).
- Disseminate and collect permission slips for ESY. Keep a running roster of students who will be attending ESY.
- Invoice Hartford Public Schools for tuition services for CHOICE students.
- File IEP/PPT paperwork regularly to keep files up to date.
- Assist in processing Family Educational Rights and Privacy Act (FERPA) and Freedom of Information Act (FOIA) requests according to mandated timelines.
- Process records requests.
- Order instructional and non-instructional supplies per the Director
- Answer door, phones, radio when other Administrative Assistants are absent.
Qualifications:
- At least 1 year experience with CT-SEDS as a Data Manager
- Proven track record of meeting deadlines
- Fluent with technology (Google and/or Excel)

- Must possess normal visual acuity, with or without corrective lenses, and depth perception

Work Environment:

Work Days:
- 12-month employee
- Monday through Friday, following the school calendar and summer months
Work Scheduled:
- Monday - Friday 8 AM to 4 PM during the school year, school break and vacation hours may vary.
