Alarm Service Job Completion & Billing Coordinator

Firetrol Protection Systems is seeking an organized and dependable Alarm Service Job Completion & Billing Coordinator to support our Alarm Service Department.

This position works closely with our service technicians, scheduling coordinator, warehouse, and customers to ensure service calls are properly documented, completed, and released for billing.

Key Responsibilities:

• Review completed service tickets and technician timecards.
• Verify labor, materials, purchase orders, pricing, and customer authorizations.
• Ensure technician documentation is complete and accurate.
• Track incomplete service calls and determine what is needed to complete the work.
• Order and track materials needed for return service visits.
• Monitor open and aging service tickets and help keep jobs moving toward completion.
• Prepare standard service pricing and minor repair quotes.
• Release completed service tickets for billing.
• Communicate with technicians and customers regarding job status and follow-up needs.
• Coordinate closely with the Alarm Service Scheduling & Customer Service Coordinator.
• Maintain accurate job information within ServiceTrade.

The position owns the service process once the initial work is completed, including parts and authorization follow-up, documentation review, and releasing the job for billing.

Requirements

• Strong organizational and follow-up skills.
• Excellent communication and customer service skills.
• Attention to detail and accuracy.
• Ability to manage multiple open service jobs and priorities.
• Comfortable working with technicians and understanding basic technical service information.
• Experience with service coordination, billing, fire alarm/security systems, or a related service industry is preferred.
• ServiceTrade experience is a plus.
