We are hiring an AI & Systems Administrator in our New York City office.
About the Role
You will be responsible for administering, securing, and optimizing the AI tools and platforms used across Applecart. This includes managing access, usage policies, and integrations for large language model (LLM) platforms, AI-enabled SaaS applications, and internal AI workflows. You will partner closely with IT to extend existing systems administration practices into the AI domain, while helping teams adopt AI tools safely and effectively. In this position, you will work with IT, Security, HR, Business Operations, and Platform teams. This role will report to the Director of Information Systems and Technology.
What You'll Do
• Serve as the primary point of contact for internal AI tooling support, onboarding, and troubleshooting.
• Administer AI platforms and licenses (provisioning, deprovisioning, access controls, and cost/usage monitoring).
• Define and enforce AI usage policies, including data handling, acceptable use, and model governance. • Support safe integration of AI tools with existing systems (SSO, identity, and data sources). • Improve AI security and compliance posture, including data loss prevention and audit readiness.
• Audit and monitor AI usage logs, and help set and track budgets to ensure responsible, cost-effective AI usage.
• Partner with the IT Director on large initiatives such as AI governance frameworks, vendor evaluation, and SOC 2 readiness for AI systems.
• Build automations and scripts to streamline AI tool administration and reporting.
• Educate and train employees on responsible, effective AI use.
Experiences and Capabilities You Bring
• 3+ years of experience in IT Systems Administration, AI operations, or a similar role.
• Hands-on experience administering AI/LLM platforms (e.g., Claude/Anthropic, OpenAI, Google Gemini, Microsoft Copilot) at the enterprise level.
• Strong administration experience with identity and SaaS platforms (Okta, Google Workspace, Slack, MS Office).
• Familiarity with AI governance, data privacy, and acceptable-use policy design.
• SSO and integration experience (Okta, OneLogin) for connecting AI tools to enterprise identity. • Python scripting experience to automate administration, reporting, and monitoring tasks. • Understanding of data security and DLP concepts as applied to AI tools.
• Experience supporting SOC 2 audits or similar compliance frameworks.
• Strong written and verbal communication skills, with the ability to train non-technical users. • Impeccable attention to detail and superior organizational skills.
This is a hybrid role. Work from home or in the office on Monday and Friday, and in Applecart's New York City office Tuesday through Thursday.
Compensation:
Our compensation package consists of three components: (i) a base salary, (ii) annual cash bonus, and (iii) generous equity compensation.
The base salary range for this role is between $150,000.00 - 185,000.00,based on the candidate's experience and skills relative to the requirements listed above. The salary range provided is exclusive of discretionary annual cash bonus and equity compensation. The salary range provided for this role is specific to candidates located in the New York City area.
