    Position Information

    Position Title Advancement Coordinator - Institutional Advancement Job Description

    The Advancement Coordinator is a key member of Ashland University's Institutional Advancement team supporting fundraising, donor engagement, prospect development, event management, and advancement operations. The position is structured around four primary areas of responsibility, with approximately 25% of the position dedicated to each area:

    • Annual Giving
    • Donor Stewardship
    • Prospect Management and Research
    • Event Management
    • Manage the day-to-day execution of GiveCampus fundraising projects.
    • Support annual giving initiatives.
    • Coordinate donor stewardship activities.
    • Manage prospect research tools and information.
    • Assist with the planning and execution of Institutional Advancement events, including Homecoming and donor engagement events.
    • Oversee student workers and stewardship officers who support Institutional Advancement activities.

    Required Qualifications

    • Bachelor's degree from an accredited institution.
    • Excellent written and verbal communication skills.
    • Strong organizational skills and attention to detail.
    • Ability to manage multiple projects, priorities, and deadlines.
    • Strong interpersonal skills and ability to interact professionally with donors, alumni, students, faculty, staff, and University leadership.
    • Proficiency with Microsoft Office applications.
    • Ability to learn and effectively use advancement CRM, GiveCampus, and prospect research systems.
    • Ability to work independently and collaboratively.
    • Commitment to confidentiality and responsible handling of donor information.
    • Willingness to work occasional evenings and weekends.

    Preferred Qualifications

    • Experience in higher education advancement, nonprofit fundraising, annual giving, donor relations, alumni relations, or event management.
    • Experience with GiveCampus or similar online fundraising platforms.
    • Experience with donor stewardship and recognition programs.
    • Experience with advancement CRM systems and prospect research tools.
    • Experience supervising student employees or interns.
    • Experience planning and executing events.

    Job Duty Name Annual Giving Description of Job Duty

    • Manage and maintain Ashland University's GiveCampus online giving platform, including fundraising pages, campaigns, projects, and online giving forms.
    • Build, update, and maintain GiveCampus fundraising pages for University departments, academic programs, athletics, student organizations, and special projects.
    • Work with campus partners and advancement staff to gather content, photos, project information, and fundraising goals needed for GiveCampus pages.
    • Coordinate the launch and maintenance of GiveCampus projects, ensuring pages are accurate, current, and visually engaging.
    • Assist with Giving Days, crowdfunding campaigns, matching gift challenges, and other online fundraising initiatives.
    • Monitor GiveCampus activity and provide basic campaign reporting as requested.
    • Assist with donor acknowledgments and follow-up related to online fundraising campaigns.
    • Create basic graphics and digital assets for GiveCampus pages, online fundraising campaigns, email communications, and social media.
    • Assist with other annual giving projects, direct mail, email communications, and fundraising initiatives as assigned.

    • Assist with the coordination and execution of Ashland University's donor stewardship program.
    • Develop and coordinate timely donor communications, including thank-you letters, impact reports, donor updates, scholarship communications, and personalized correspondence.
    • Help demonstrate the impact of philanthropy on Ashland University students, faculty, programs, and the University community.
    • Assist with stewardship activities for annual, leadership, major, and planned giving donors.
    • Support scholarship stewardship activities, including donor communications and opportunities for donors and scholarship recipients to connect.
    • Coordinate and track stewardship activities to ensure appropriate donor recognition and follow-up.
    • Assist with donor recognition programs and events.
    • Maintain accurate stewardship records and documentation in the University's advancement CRM.

    • Assist with identifying and managing prospective donors for annual, leadership, and major gift opportunities.
    • Manage and maintain prospect research, wealth screening, and other research tools utilized by Institutional Advancement.
    • Conduct research on alumni, parents, friends, corporations, foundations, and other prospective donors.
    • Identify prospects based on wealth indicators, giving history, engagement, professional affiliations, and other relevant information.
    • Assist with developing prospect lists for annual giving, leadership giving, and major gift officers.
    • Research lapsed donors and identify opportunities for re-engagement and increased giving.
    • Provide prospect research and background information to advancement staff.

    Maintain accurate prospect information, assignments, stages, and activity in the University's advancement CRM

    • Assist with the planning, coordination, and execution of Institutional Advancement events designed to engage donors, alumni, parents, and friends of Ashland University.
    • Support event logistics, including invitations, registration, guest lists, communications, nametags, materials, catering, venue coordination, and on-site execution.
    • Assist with the planning and execution of Homecoming and other major alumni engagement events.
    • Coordinate event details with University departments, vendors, volunteers, alumni, donors, and campus partners.
    • Assist with donor cultivation, stewardship, recognition, and special events.
    • Support event communications and promotional materials, including basic digital graphics and email communications.
    • Maintain accurate event attendance and engagement records in the University's advancement CRM.
    • Assist with post-event follow-up, including donor acknowledgments, communications, and event reporting.
    • Help evaluate event logistics and outcomes to improve future events.
    • Provide evening and weekend support for events as needed.
