    Job Summary

    The Admissions Representative is responsible for coordinating and facilitating the efficient and orderly admission of inpatient rehabilitation patients. This position serves as an important point of contact for patients, families, referral sources, and hospital departments and requires excellent communication, organization, attention to detail, and the ability to work effectively in a fast-paced environment.


    Key Responsibilities

    • Interview and greet patients and families upon admission and obtain required demographic, insurance, emergency contact, and consent information.
    • Coordinate and process referrals received through electronic and fax-based referral systems.
    • Enter and maintain accurate patient information and referrals in EPIC.
    • Communicate with referral sources regarding admission criteria and required patient information.
    • Collaborate with Business Office staff regarding financial screening, insurance authorization, and pre-certification requirements.
    • Work closely with the Screening Department to coordinate admissions and manage patients awaiting admission.
    • Collaborate with Medical, Nursing, Clinical, and Business Office teams to facilitate a smooth admission process.
    • Answer telephone calls professionally and provide information regarding admission criteria, hospital policies, insurance, deposits, co-pays, personal items, and visiting hours.
    • Collect and document patient deposits, co-payments, and valuables as needed and provide appropriate receipts.
    • Maintain patient confidentiality and comply with HIPAA, infection prevention, and hospital policies.
    • Provide courteous and compassionate service to patients and visitors of all ages and backgrounds.
    • Prioritize multiple responsibilities, exercise initiative, and maintain accuracy in a fast-paced environment.
    • Assist with orientation and training of new and temporary staff as requested.
    • Complete required annual training and perform other duties as assigned.

    Required:

    • High School diploma or equivalent.
    • Excellent interpersonal, communication, and customer service skills.
    • Strong attention to detail, organization, and time-management skills.
    • Ability to multitask, prioritize, and work effectively under pressure.
    • Strong computer skills and ability to learn electronic medical record systems.

    Preferred:

    • College coursework or degree.
    • Previous hospital admitting or patient access experience.
    • Knowledge of medical terminology.
    • Experience with EPIC and RightFax.
    • Familiarity with insurance benefits, authorizations, and admission processes.

    Work Schedule: Alternating Weekends. Saturday: 8:30am - 4:30pm & Sunday: 8:30am-12:30pm


    *We can be flexible with 8am-4pm or 9-5pm schedule on Saturdays if needed
