The Office of Admissions at Black Hills State University is seeking service-oriented, highly organized, and detail-focused internal university candidates for the position of Admissions Operations & Visit Coordinator. This position serves as a key operational team member within the Office of Admissions, providing critical administrative, technical, and visitor experience support that directly contributes to student recruitment and enrollment.

Reporting to the Director of Admissions, this position plays an essential role in ensuring efficient admissions operations, accurate student record management, compliance with institutional and Board of Regents policies, and the coordination of prospective student campus visits and recruitment events. The successful candidate will work closely with students, families, faculty, staff, and university leadership while serving as a primary resource for admissions processes and enrollment-related services.

DUTIES & RESPONSIBILITIES

This position provides operational coordination and administrative support for many of the day-to-day functions of the Office of Admissions and will work collaboratively with all members of the Admissions staff. Responsibilities include front-line customer service (inbound phone lines, departmental email inbox, physical mail management, in-person visitor traffic, etc.), admissions application and document processing, student records management, database and system maintenance, staff support, campus visit coordination, event planning, budget and purchasing support, and implementation of admissions-related policies and procedures.

This position serves as the primary coordinator for prospective student campus visits and recruitment events, ensuring a welcoming and seamless experience for visitors. The Admissions Operations & Visit Coordinator also supervises and coordinates Admissions student employees, including campus tour guides and office assistants.

Additional responsibilities include monitoring compliance requirements, preparing reports, managing departmental purchasing and travel processes, coordinating office workflows, assisting with policy interpretation and implementation, and collaborating with campus partners to support enrollment goals and student recruitment initiatives.

KNOWLEDGE, SKILLS, & ABILITIES

Prior work experience in BHSU student services, admissions, administrative operations, customer service, or other related university department(s).

  • Knowledge of BHSU operations, departments, policies, and processes.
  • Prior experience using Banner, SDezBuy, and other university technology platforms.
  • Experience with Microsoft Office applications.
  • Supervisory, event planning, budget processing, or student employee management experience preferred.
  • Demonstrated ability to provide exceptional customer service and work effectively with a variety of constituents.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Excellent verbal and written communication skills.
  • High level of attention to detail, accuracy, and confidentiality.
  • Ability to interpret and apply policies and procedures.
