Overview:
Are you someone who enjoys helping others, staying organized, and keeping operations running smoothly? Auburn University Facilities Management is looking for an Administrative Support Specialist who can provide exceptional customer service while supporting a wide range of office and business functions in our Access Control Department. As the welcoming face of the office, you'll assist visitors, answer questions, direct phone calls, prepare reports and correspondence, manage key transactions, and maintain important records. You'll play a vital role in ensuring our team has the resources, information, and support needed to serve the Auburn campus community. This position is perfect for someone who thrives on organization, enjoys multitasking, and takes pride in making a positive impact behind the scenes.
Responsibilities:
- Acts as office receptionist: receives and routes telephone calls and visitors; provides and gathers information.
- Prepares documents, reports, newsletters and manuscripts, and may compose correspondence.
- Operates standard office equipment such as personal computers, copiers, scanners, fax machines, etc.
- Maintains inventory and orders office supplies, materials and equipment.
- Processes and prepares forms such as work orders, purchase orders and personnel documents.
- Creates and maintains records, files, documents, and images in the data system.
Qualifications:
Level I:
- High School Diploma or GED
Level II:
- High School Diploma or GED and 2 years of experience in clerical support services.
SUBSTITUTIONS ALLOWED FOR EXPERIENCE: Yes, When a candidate has the required education, but lacks the required experience, they may normally apply additional appropriate education toward the experience requirement, at a rate of one (1) year relevant education per year of required experience.
Minimum Knowledge, Skills, and Abilities:
- Standard knowledge of office functions.
- Working knowledge of Auburn University administrative systems appropriate to the position.
