Overview
We are seeking a highly organized, professional, and proactive Executive Assistant to provide comprehensive support to senior executive leadership. This individual will serve as a trusted business partner, helping to manage calendars, communications, travel arrangements, meetings, and special projects while handling highly sensitive and confidential information with discretion.
The ideal candidate thrives in a fast-paced environment, possesses exceptional attention to detail, and can effectively prioritize competing demands while maintaining a positive and professional attitude.
Key Responsibilities- Manage executive calendars, scheduling meetings and resolving conflicts across multiple time zones.
- Coordinate and maintain executive correspondence, emails, calendars, and filing systems.
- Screen incoming communications and prioritize matters requiring executive attention.
- Arrange domestic and international travel, including transportation, accommodations, itineraries, visa/passport coordination, and expense reporting.
- Prepare, edit, and distribute reports, presentations, meeting agendas, and executive communications.
- Coordinate executive meetings, team events, staff meetings, off-sites, and town halls.
- Greet visitors and support executive interactions with internal and external stakeholders.
- Track action items and follow-up activities to ensure timely completion.
- Support special projects and business initiatives as assigned.
- Maintain confidentiality of sensitive business and personnel information.
Required Qualifications- High School Diploma or GED required.
- 3+ years of executive or senior-level administrative support experience preferred.
- Advanced proficiency with Microsoft Office Suite, including:
- Outlook
- Word
- Excel
- PowerPoint
- Teams
- Strong written and verbal communication skills.
- Exceptional organization and time management abilities.
- Ability to manage multiple priorities with minimal supervision.
- Demonstrated professionalism, discretion, and integrity.
- Ability to support leaders across North American time zones.
Preferred Qualifications- Associate Degree preferred.
- Experience supporting Directors, Vice Presidents, or C-suite executives.
- Experience coordinating complex travel arrangements.
- Experience preparing executive presentations and reports.
- Knowledge of records retention practices and document management.
