The Administrative Support Assistant IV provides advanced administrative and clerical support in a professional office environment while assisting multiple departments with daily operations, communication, scheduling, records management, and reporting functions.
• Provide administrative and office support for multiple departments and staff.
• Maintain accurate records, files, databases, and reports in accordance with office procedures and record retention requirements.
• Assist with preparing correspondence, presentations, forms, reports, and other documents.
• Manage incoming calls, emails, mail distribution, and general office communications.
• Coordinate meetings, schedules, travel arrangements, and departmental calendars as needed.
• Enter, track, and maintain data using various software platforms and time-keeping systems.
Perform other duties as assigned to support departmental operations.
What you'll need to be successful:
This position requires strong organizational abilities, attention to detail, confidentiality, and the ability to manage multiple assignments simultaneously in a fast-paced setting.
• Strong verbal and written communication skills.
• Excellent organizational and time-management skills with the ability to prioritize and multi-task effectively.
• Proficiency in Microsoft 365 applications, including Word, Excel, Outlook, and SharePoint.
• Ability to work independently and collaboratively with staff, stakeholders, and the public.
Preferred Qualifications:
Typically requires a High School Diploma or equivalent and 3-5 years of experience.
— Hiring Agency Prefers:
• Three (3) to six (6) years' experience working in a professional office setting supporting multiple departments.
• Experience with SPHARS is required
