Overview:

NOTE: Compensation determinations will be made based on years of required relevant occupational experience and meeting educational requirements.

 

POSITION SUMMARY:This position provides administrative, technical, and on-site coordination of Teaching and Learning Center (TLC) activities, including new employee orientation and onboarding, professional development offerings, on-demand technical training and documentation. The assistant serves as the Learning Management System administrator for faculty/staff training, FQAS (faculty quality assurance) monitor, and assistant in college-wide event coordination and new student orientation. This position must think creatively, demonstrate strong communication and technology skills, and plan and organize independently. This position must also provide an exceptional customer service experience to both internal and external customers throughout every interaction.

Responsibilities:

ESSENTIAL JOB FUNCTIONS (Other duties may be assigned):

 

(30%) Teaching and Learning Center Administrative Duties

  • Organize and coordinate all logistical elements of events and professional development offerings, including creating promotional content, reserving rooms, planning catering, and communicating with facilitators for events such as new employee orientation, onboarding, Team Development Days, FQAS faculty quality assurance, campus technology training, and identified professional development course offerings.
  • Provide project and process management support to monitor activities, create documentation, calendar & schedule events, order supplies, track attendance, prepare training and event materials, and administer evaluations.
  • Create and manage the development, production and maintenance of physical and web-based promotional and informational material related to TLC programming and events.
  • Assist faculty/staff by serving as first point of contact for TLC and provide assistance as needed.
  • Perform other duties as assigned to support the needs of TLC.

 

(25%) Professional Development System Administrator

  • Event creation - set up new classes/courses, schedule, run reports, and monitor course enrollment.
  • Work closely with software vendor to report, track, and resolve technical and non-technical system issues impacting end-users.
  • Develop and execute testing plans for any system changes or enhancements with documented outcomes.
  • Load SCORM and Open Content Network courses/programs into the professional development system.

 

(20%) Training and Development

  • Create and maintain documentation and training resources (e.g., updating webpages, MS Team files, SharePoint sites, print files); manage content electronically, including creating, editing, and navigating resources.
  • Assist in developing and maintaining e-learning courses, presentations, and files; identify unique and engaging methods to present content to a diverse audience.
  • Assist with compliance of annual ongoing professional development requirements in subject-matter expertise, instructional excellence, student success, and compliance.
  • Assist in the application of policies and regulations impacting training materials (e.g., improving documents for accessibility)

 

(15%) Student Orientation and Resources

  • Assist in the development and maintenance of student orientation materials, including online modules and resources that support students in navigating academic technology.
  • Collaborate with other departments to create and maintain online resources.
  • Assist in maintaining student resources by tracking updates, managing documents, and ensuring accessibility for students.

 

(10%) Event Coordination

  • Collaborate and coordinate event scheduling calendar and provide assistance to the event owner with events for Student Affairs and Academic Affairs.
  • Perform other duties as assigned in support of the events.
Qualifications:

EDUCATION AND EXPERIENCE:

  • Associate degree in Business, Administrative Professional, Human Resources, Education, or in a related discipline required.
  • Two to three years’ recent related occupational experience required.
  • Customer service and professional office experience is required.

PREFERRED KNOWLEDGE AND EXPERIENCE:

  • Articulate Storyline and Rise e-learning development
  • Familiarity with media software such as Adobe Creative Cloud, Canva, etc.
  • Use or management of Learning Management System (LMS)
  • Use and editing of SharePoint sites
  • MS Office applications, including MS Teams and PowerPoint
