    Now Hiring an Administrative Specialist

    The Administrative Specialist provides "WOW" customer service to guests, employees and vendors arriving at the branch and provides a wide variety of administrative, receptionist, secretarial, and staff support services to all areas within the branch. This is an in-office position based in Trenton, FL.

    Responsibilities:

    • Answers, screens, and directs phone calls coming into the switchboard.
    • Assists all visitors coming into the main office and ensures they are directed accordingly.
    • Confirm and process customers' payments in a timely manner.
    • Submits daily work (customer payments) on daily basis.
    • Processes, sorts, and distributes mail.
    • Manages office supplies, including kitchen, and places order for the branch.
    • Prepares, composes, and initiates correspondence and reports as needed and maintains appropriate records, files, and documentation.
    • Provides administrative support to facilities.
    • Monitor and replenish supplies for the branch and coordinates service calls.
    • Order supplies and Postage stamps and process all certified and outgoing mail.
    • Allow access to vendors for repair or maintenance to building.
    • Research incoming legal documents and forward to the collateral vault.
    • Perform other tasks as required or assigned.
    • Serves as back up to the Alachua Branch in calls and other tasks with administrative assistant is out.
    • Submit marketing request for Trenton branch.

    To qualify for this position, candidates should possess the following:

    Education: High School diploma or equivalent work experience.
    Experience: Minimum of three (3) to five (5) years administrative experience in a customer-centric environment.

    • Ability to interact with all levels of personnel both internally and externally.
    • Excellent organizational skills and detail oriented
    • Professional appearance and strong work ethics
    • PC proficiency using Microsoft Office and other Association related software.
    • Ability to lift up to 15 pounds.
