    Description

    The Administrative Specialist is a part-time, 100% in-office role supporting daily operational and administrative activities. The role is responsible for processing departmental mail, reviewing and notarizing documents, maintaining office organization, and completing local errands as needed.

    This position requires strong attention to detail, reliability, and the ability to independently manage both process-oriented office tasks and local administrative duties.

    Key Responsibilities

    • Open, sort, and process incoming departmental mail.
    • Review forms and documents for completeness and accuracy.
    • Scan received documents and notify appropriate internal teams for record updates.
    • Prepare, package, and send outgoing mail.
    • Notarize forms and documents as needed.
    • Serve as the company's professional on-site presence.
    • Maintain general office organization and tidiness.
    • Retrieve mail from the company's PO Box weekly.
    • Complete local errands, including obtaining money orders from banks or post offices.
    • Support additional administrative and office tasks as needed.

    Qualifications

    • High school diploma or equivalent required; some college preferred.
    • Strong attention to detail, organization, and accuracy.
    • Strong written and verbal communication skills.
    • Able to work independently and manage multiple tasks.
    • Comfortable navigating multiple windows/browsers and conducting internet research.
    • Minimum typing speed of 45 WPM.
    • Working knowledge of Google Workspace and Microsoft Office.
    • Ability to enter data quickly and accurately.
    • Ability to learn background screening processes and related industry vendors.
    • Able to work at a computer for prolonged periods.
    • Reliable and able to maintain regular and punctual attendance.

    Work Environment & Schedule

    • Part-time, up to 20 hours per week.
    • 100% in-office in Meridian, Idaho.
    • Ideally Monday-Friday for 3-4 hours per day.
    • Flexible scheduling may be considered, with a minimum of 3 days per week on-site.
