Position Summary

The University of Central Arkansas Department of Music is searching for an Administrative Specialist III. This position is governed by state and federal laws and agency/institution policy.

The Department of Music in the College of the Arts Humanities and Social Sciences enjoys endowments and private scholarship funds of approximately $2 million, annual university performance scholarships of over $850,000, a visiting artist series, and NASM accreditation. Many performances are presented in the state-of-the-art, 1100+-seat, Donald W. Reynolds Performance Hall and the new Windgate Center for the Fine and Performing Arts, a 100,000 sq ft arts space in the heart of the campus, home to Music Art, and Theatre. The department serves 250+ majors and minors, and offers both undergraduate and graduate degrees: BA, BM (Music Education, Composition, Performance, Piano Pedagogy, and Jazz and Studio Music), MM (Music Education, Performance, Conducting, Theory), as well as a Graduate Performance Certificate program. The faculty is composed of no fewer than 33 full-time and approximately 18 adjunct members, most of whom have national and international reputations.

Job Duties and Responsibilities

  • Schedule Auditions - prospective vocalists and string players
  • Handle Scholarship award process
  • Ensure that all scholarship recipients fulfill their obligations annually
  • Assist the Chair with maintaining websites and developing online forms and processes
  • Assist the department with course scheduling and load maintenance
  • Maintain Departmental calendars including faculty, student, and ensemble reservations
  • Supervise room-use calendars including classrooms, recital hall, and rehearsal spaces
  • Create PAFs to ensure timely payment of department faculty
  • Maintain records for approved PAF's, Termination PAF's
  • Maintain Staff records
  • Supervise and maintain key request and maintain key/card swipe databases and updates
  • Supervise the hiring of all staff and student employees
  • Create job announcements for Hire-Touch and People Admin
  • Supervise the maintenance of all phone logs, and departmental email accounts
  • Supervise the maintenance of all departmental lockers (student)
  • Supervise the maintenance of all instrument checkout forms and inventory
  • Create and maintain all job announcements in People Admin
  • Manage and oversee all recital programs and templates
  • Schedule all degree recitals: junior, senior, graduate
  • Work with faculty on dates for ensemble, faculty and guest artist performances and keep departmental calendars
  • Work with departmental recording division to ensure compliance and clean, i.e. correct calendars
  • Supervise and coordinate Emergency Building Management Team
  • Supervise the copy machine
  • Supervise all departmental supplies including Departmental Letterhead, envelopes, & supplies
  • First-Aid kit maintenance
  • Assist the Chair in all duties as appropriate
  • Student records - establish and maintain - ongoing
  • Departmental Records - Maintenance - Pool Drive maintenance
  • Leave Requests/Approval upkeep - Pool Drive Storage
  • Liaison to Community Music Division of the Department of Music
  • WordPress - applications/automation
  • Slate graduate applications and automation
  • Greet all who enter the office -
  • Assist in maintaining a positive and pleasant office environment for all students workers, graduate assistants and staff
  • Answer all appropriate phone calls and manage the keeping of a phone log
  • Chairs appointment calendar
  • Liaise between the faculty and the chair
  • Liaise between all students and the chair
  • Supervise the Pool drive and record keeping
  • Assist in the annual NASM Heads report
  • Assist in the NASM self-study and accreditation correspondence as appropriate
  • Assist the Chair with policies and processes department-wide
  • Assist the Chair with the Community Music Division of the Department of Music in the implementation of all policies, standards and procedures - i.e. minors policies; Community music faculty hire; Comm Mus Faculty Handbook
  • Assist the Chair with the Department of Music Handbook and updates
  • Assist the chair with all website design issues
  • Assist the chair with all advertising and marketing collateral
  • Assist the chair with course schedule creation and maintenance in cooperation with the Assistant and Associate Chairs
  • Assist the chair with all university reporting
  • Oversee and manage all departmental files
  • OTHER responsibilities as assigned

Required Education and/or Experience

The formal education equivalent of a high school diploma; plus one year of specialized training in business management, business education, or a related field; plus three years of experience in specialized or a related field applicable to work performed. Additional requirements determined by the agency for recruiting purposes require review and approval by the Office of Personnel Management.
