The salary range advertised is the designated recruitment range for this classification. Final salary offers will be determined by the candidate's education, relevant experience, internal equity alignment, and departmental budgetary parameters.

Within a physics degree, students have an option of General Physics, Applied Physics, Environmental Physics, or Physical Oceanography.

The Administrative Services Associate provides comprehensive fiscal, administrative, and operational support to the Department of Physics and Physical Oceanography. The role ensures all departmental business practices follow university, college, and departmental policies.

Key Responsibilities:

  • Manage and monitor departmental budgets across state, grant, and other funding sources; assist the chair with fiscal planning.
  • Serve as departmental financial reconciler to ensure proper use of university funds.
  • Build and maintain accurate course schedules in Banner.
  • Maintain confidential records, files, and databases, including HR hiring documents, fixed assets, and computer/surplus inventories.
  • Oversee all travel processes, including pre-approvals, compliance, expense reports, and reimbursements.
  • Manage the department's Technology Information Management Systems (TIMS) site and computer inventory.
  • Support the department chair with routine and complex administrative matters.
  • Handle general office operations such as room scheduling, phone coverage, visitor support, and preparation of class materials.
  • Assist in supervising student workers.

Minimum Education and Experience Requirements

High school diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work.
