Nature of Work

Under general supervision of the Director of Inmate Records, the Administrative Services Assistant 1 position is essential to the secure and efficient operation of the Division of Corrections and Rehabilitation, Central Office. The incumbent is essential to the secure and efficient operation of the office, serving as the primary control point for all visitor access and ensuring that only authorized individuals are granted entry through the secure entrance in strict accordance with established safety protocols.

This role functions as the central communications hub, managing incoming calls and overseeing the receipt, documentation, and distribution of mail and packages. Responsibilities include maintaining the inventory of specified products and equipment to ensure items are correct, properly stored, and purchased in full compliance with ACA standards. The position will be responsible for scheduling and maintaining logs of fire drills and safety inspections, while ensuring that all required policy signage and notices are posted in accordance with regulatory compliance.

Coordinates janitorial labor to maintain facility order and cleanliness, updates facility floor plans to reflect employee work locations, and maintains current staff extension lists. Additionally, this position will manage the key control, vehicle maintenance, and detailing logs for the Fleet Motor pool and serve as the primary contact for logging building and maintenance issues to General Services.

Training: Graduation from an accredited college or university. Preference may be given to candidates with a major in the area of public or business administration, accounting, industrial relations, communications or related field.

Substitution: Additional qualifying experience as described below may be substituted on a year-for-year basis for the required training.

Experience must have been at the Office Assistant 3 or Accounting Technician 3 level or higher.

  • I have a Bachelors degree from an accredited college or university AND at least fifteen (15) graduate semester hours in public administration, business administration, accounting, industrial relations, communications or related fields.
  • I do not have any college coursework; however, I have at least five (5) years of qualifying paid employment in a technical or advanced clerical position providing administrative services such as accounting, budgeting, project monitoring and reporting, personnel, or procurement and property. Experience must have been at the Office Assistant 3 or Accounting Technician 3 level or higher.
  • I have a combination of undergraduate coursework from an accredited college or university AND qualifying paid employment in a technical or advanced clerical position providing administrative services such as accounting, budgeting, project monitoring and reporting, personnel, or procurement and property to equal a total of five (5) years.
