Now hiring for an Administrative Project Coordinator

Location: Dayton, OH

Pay Rate: $24.03 per hour

Shift: 8:30 A.M - 5:00 P.M Monday-Friday, some weekends

Do you enjoy managing projects, coordinating executive-level initiatives, and building strong relationships? We're seeking a Coordinator, Advancement Operations & Donor Relations to support strategic fundraising efforts and help strengthen relationships with donors and community partners.

In this role, you'll work closely with executive leadership while coordinating high-impact projects, donor engagement initiatives, special events, and the day-to-day operations that help drive the organization's mission forward.

Education Requirements

  • High school diploma or GED required.
  • Associate degree, business coursework, or administrative support training preferred.

Experience Requirements

  • Minimum of 3 years of related professional experience
  • Experience coordinating projects and managing multiple priorities
  • Strong administrative, organizational, and time management skills
  • Proficiency with Microsoft Office and web-based collaboration tools
  • Excellent written and verbal communication skills
  • Ability to maintain confidentiality and handle sensitive information
  • Experience supporting senior leadership preferred
  • Fundraising, nonprofit, higher education, or donor relations experience preferred
  • Event planning or event coordination experience preferred

Job Duties

  • Coordinate fundraising, donor relations, and stewardship initiatives
  • Manage donor events from planning through execution
  • Process donor agreements and maintain accurate records
  • Audit donor data and administrative processes for compliance and accuracy
  • Provide executive administrative support, including calendar management and meeting coordination
  • Prepare reports, presentations, and communications for leadership and stakeholders
  • Support onboarding activities, purchasing, and office operations
  • Track project timelines, action items, and deliverables
  • Identify process improvements to increase efficiency across operations

Physical Capabilities

  • Ability to work at a computer for extended periods
  • Ability to attend meetings and special events as needed
  • Ability to manage multiple projects and deadlines in a fast-paced environment
  • Occasional evening and weekend work required
