Executive AssistantServe as a trusted business partner to senior HR executives and leadership stakeholders, helping maximize leadership effectiveness and organizational impact. Manage complex executive calendars, competing priorities, and strategic commitments while ensuring alignment with business objectives. Anticipate potential conflicts, risks, and opportunities by proactively assessing leadership schedules, travel plans, and organizational priorities. Coordinate executive meetings and leadership engagements including agendas, materials, logistics, technology, communications, and follow-up actions. Develop executive presentations, reports, briefing materials, and communications for internal and external audiences. Drive accountability by tracking key deliverables, decisions, and action items while ensuring timely execution. Manage domestic and international travel arrangements, including comprehensive itinerary development and contingency planning. Oversee expense management, invoice processing, purchase orders, and budget-related administrative activities. Support executive visits, leadership meetings, board interactions, and high-profile organizational initiatives. Act as an extension of the executive team by proactively identifying solutions and removing barriers to execution. Lead employee engagement, recognition, and culture initiatives that reinforce company's values and strengthen employee connection. Coordinate town halls, all-hands meetings, leadership events, conferences, and organizational celebrations. Partner with HR leaders to develop engaging employee experiences and communication strategies. Support onboarding, milestone celebrations, recognition programs, and team-building activities. Foster strong relationships across the HR organization while serving as a visible champion of employee experience initiatives. Create opportunities that strengthen collaboration, engagement, and organizational culture. Provide operational support to HR leadership across talent, engagement, communications, organizational effectiveness, and strategic initiatives. Coordinate onboarding activities and support a seamless employee transition and workplace experience. Organize HR leadership meetings, maintain documentation, and manage project-related activities. Collaborate with HR Centers of Excellence and cross-functional partners to support enterprise priorities. Handle sensitive employee and business information with the highest degree of confidentiality and professionalism. Serve as a liaison across HR, Finance, IT, Facilities, Operations, and other key business functions. Coordinate vendor relationships, office services, procurement activities, and facility-related support. Facilitate communication and alignment across multiple stakeholders and teams. Support strategic projects requiring cross-functional coordination and execution. Lead the planning and execution of onsite, virtual, and hybrid meetings, leadership events, and organizational gatherings. Develop and maintain project plans, timelines, status reports, and accountability measures. Manage vendors, logistics, communications, materials, budgets, and event execution activities. Document meeting outcomes, decisions, and follow-up actions to ensure successful implementation. Drive operational excellence through exceptional planning, organization, and execution.
