Description

The Counseling and Diagnostic Center of Woodfield, Ltd., an outpatient mental health practice located in Schaumburg, IL, is seeking a dependable, detail-oriented Administrative Support Specialist to assist prescribers with non-clinical administrative functions and support daily practice operations.


This role requires strong organizational skills, discretion, and the ability to manage multiple responsibilities independently in a confidential healthcare environment.


Core Responsibilities


  • Assist prescribers with non-clinical administrative functions

  • Support clients and providers with day-to-day administrative tasks

  • Manage new client documentation and ongoing recordkeeping

  • Coordinate pharmacy communications and medication-related administrative matters

  • Verify prescription status and appointment scheduling

  • Assist with credentialing and compliance requirements

  • Maintain provider files, licenses, liability insurance, and CAQH profiles

  • Process bank deposits as needed

  • Support special projects and practice improvement initiatives

  • Perform additional administrative duties as assigned

Expectations


  • Maintain strict confidentiality and HIPAA compliance

  • Document communications within required timeframes

  • Escalate complex or clinical matters appropriately

  • Manage deadlines with minimal supervision

  • Communicate proactively regarding priorities and barriers

Qualifications


  • Prior administrative experience required

  • Healthcare or mental health experience preferred

  • Experience with EHR systems strongly preferred

  • Strong attention to detail and organizational skills

  • Professional communication skills
