Job Details

We are seeking a dynamic and experienced Administrative Manager to join our fast-paced nonprofit organization. This is a permanent, full-time position that offers a unique opportunity to play a central role in our daily operations and long-term growth. The ideal candidate will be an organized, detail-oriented, and self-motivated professional with a strong background in operations, customer relationship management (CRM), and performance management.

Responsibilities:
As an Office Manager, you will be responsible for:

1. Overseeing and coordinating all office operations and procedures, ensuring the smooth and efficient functioning of the office.
2. Implementing and managing CRM systems to improve customer service and business relationships.
3. Monitoring and analyzing the performance of the office staff, identifying areas of improvement, and implementing necessary changes.
4. Developing and implementing office policies and procedures to improve operational efficiency.
5. Managing relationships with vendors, service providers, and donors, ensuring that all items are invoiced and paid on time.
6. Planning and coordinating administrative procedures and systems, and devising ways to streamline processes.
7. Managing contract and price negotiations with office vendors and service providers
8. Coordinating with HR department to ensure smooth new hire onboarding process.
9. Ensuring office efficiency by maintaining an organized workspace, managing internal and external correspondence, and handling routine clerical tasks.
10. Organizing office events and meetings, ensuring all necessary materials are prepared in advance.

Qualifications:
The successful candidate must possess the following qualifications:

1. Bachelor’s degree in Business Administration, Healthcare Administration, or related field.
2. Minimum of 5 years of experience in an office management role, preferably within the nonprofit industry.
3. Demonstrated experience in operations management, CRM, and performance management.
4. Strong leadership skills, with the ability to motivate and manage a team.
5. Excellent communication skills, both written and verbal.
6. Strong organizational skills, with the ability to multitask and prioritize effectively.
7. Proficiency in Microsoft Office Suite and CRM software.
8. Knowledge of office administrator responsibilities, systems, and procedures.
9. Familiarity with processing donations.
10. Ability to work under pressure and meet tight deadlines.
