Position Description

The Administrative Industrial Clerk is responsible for supporting field operations by ensuring accurate time tracking, payroll support, client billing, and employee onboarding. This role serves as a critical link between field personnel, payroll, and accounting to maintain accurate labor records, timely invoicing, and compliance with company and client requirements.

Position Requirements

Key Responsibilities:
    • Collect, review, and verify employee timesheets, job tickets, and daily reports
    • Assign labor hours to correct job numbers, cost codes, and clients
    • Identify and resolve discrepancies with supervisors and field personnel
    • Enter and maintain accurate time data in payroll systems
    • Compile labor, equipment, and material data for client billing
    • Prepare and submit invoices based on contract terms or time & materials
    • Ensure billing aligns with approved timesheets and supporting documentation
    • Research and resolve billing discrepancies
    • Maintain organized billing records for audits and reporting
    • Process new hire paperwork (I-9, W-4, direct deposit, etc.)
    • Coordinate onboarding requirements including safety training, badging, and site access
    • Track certifications (e.g., OSHA, TWIC) and ensure compliance
    • Ensure compliance with company policies, client requirements, and labor regulations
    • Assist with audits and documentation requests
Qualifications:

    • Knowledge of industrial timekeeping and billing programs
    • High school diploma or equivalent required
    • 1+ year of administrative, accounting clerk, or similar experience preferred
    • Experience in construction, materials, trucking, or related industry is a plus
    • Strong computer skills and ability to learn new systems quickly
    • Excellent organizational skills and attention to detail
    • Strong communication and customer service skills
    • Ability to multitask and work in a fast-paced environment
    • Self-motivated and dependable
    • Bilingual (English/Spanish) preferred
Skills & Abilities:

  • Basic math and record-keeping abilities.
  • Ability to work independently with minimal supervision.
  • Comfortable working outdoors in varying weather conditions.
  • Effective communication and teamwork skills.
Working Conditions/ Physical Requirements:

  • Combination of Office and Outdoor industrial environment; exposure to cold, heat, dust, noise, and heavy machinery.
  • Must be able to lift 50+ lbs, carry at least 30 lbs and stand for extended periods.
  • Overtime, weekend, and night work may be required depending on project needs.
  • May be required to wear PPE (hard hat, safety glasses, steel-toe boots, etc.)
