    Job Summary

    We are seeking an internal candidate for the position of Administrative & Culture Support Specialist. This position provides high-level administrative support to the Management Team while assisting with internal communications, employee engagement activities, and community outreach initiatives. This position also supports document management, internal workflow processes, and efforts that contribute to a positive and engaging workplace culture.

    Key Responsibilities

    • Prepare correspondence and provide administrative support to the Management Team.
    • Route and track electronic and hard-copy documents for approvals and signatures.
    • Maintain organized physical and digital filing and retrieval systems.
    • Serve as backup to the Executive Assistant, including assistance with scheduling, meeting preparation, and executive communications.
    • Assist with employee appreciation events, recognition programs, team-building activities, and milestone celebrations.
    • Coordinate flowers and gift baskets for significant employee life events as part of Good Relations efforts.
    • Assist with community outreach initiatives, donation drives, volunteer activities, and charitable events.
    • Manage organizational mail distribution, deliveries, pickups, and certified and priority mail.
    • Coordinate auditorium and conference room reservations.
    • Monitor office supply and equipment needs and assist with purchase requisitions and vendor contracts.
    • Maintain and update Standard Operating Procedure (SOP) manuals on the Intranet.
    • Assist with job descriptions and the annual sector review process.
    • Support E-Verify documentation and compliance tracking.
    • Perform other duties as assigned in support of departmental and organizational needs.

    Skills & Qualifications

    • Strong administrative and organizational skills with excellent attention to detail.
    • Proficiency in Microsoft Office, particularly Word and Excel.
    • Excellent written and verbal communication skills.
    • Ability to manage multiple priorities effectively.
    • Ability to work independently and collaboratively with employees at all levels of the organization.
    • Familiarity with standard office equipment and document management tools

    Education & Experience

    • High School Diploma or GED required.
    • Minimum of five (5) years of administrative or related experience

    Regular hours for this position are 8:00 a.m. to 5:00 p.m., Monday through Friday.

    Pay Range

    $18.60- $31.10/hourly
