Brightpoint Community College invites applications for the position of Administrative Coordinator to support the Brightpoint Community College Foundation. The Administrative Coordinator serves in a critical support capacity for the Foundation, providing administrative, logistical, and operational assistance to the Executive Director, Foundation Board, and Foundation activities. This position is responsible for coordinating office operations, managing administrative processes, organizing meetings and events, maintaining records, and ensuring that day-to-day administrative functions are carried out efficiently and accurately. The role supports and implements priorities established by Foundation leadership and does not independently direct Foundation programs, fundraising strategies, or grant activities. The Administrative Coordinator works under the supervision of the Executive Director and performs administrative and operational duties in support of priorities, projects, and initiatives established by Foundation leadership.

Duties and Responsibilities:

Executive and Board Support

  • Maintain calendars and schedule appointments, meetings, and conference calls.
  • Arrange travel, meeting logistics, room reservations, and related support services as needed.
  • Compile information and assemble reports, presentations, and briefing materials for review by Foundation leadership.
  • Maintain Board records, rosters, policies, and historical documents.

Events and Constituent Engagement

  • Provide administrative and logistical support for Foundation, donor, alumni, scholarship, and college events under the direction of Foundation leadership.
  • Coordinate registrations, nametags, materials, vendor communications, and event supplies.
  • Track event attendance and support post-event follow-up activities.

Communications and Administrative Coordination

  • Provide administrative support for the preparation, review, and distribution of Foundation communications, reports, newsletters, and other materials as directed.
  • Maintain mailing and contact lists.
  • Enter and update constituent information in database systems.
  • Support data entry and record maintenance activities.

This position is primarily administrative in nature and focuses on providing organizational, logistical, clerical, and operational support for Foundation activities. The position supports the implementation of Foundation priorities and does not have primary responsibility for fundraising strategy, grant development, program management, or organizational policy decisions.

Minimum Qualifications:

Required:

  • Ability to maintain confidentiality and exercise good judgment in handling sensitive information.
  • Demonstrated experience supporting executives, boards, committees, or professional offices.
  • Strong accuracy and attention to detail in recordkeeping, scheduling, and document preparation.
  • Excellent follow-through and ability to manage routine administrative processes efficiently.

Successful completion and passing of a background check is required.
