Administrative Coordinator

Location: Newton, MA

Onsite Flexibility: Onsite

Contract Details

  • Position Type: Contract
  • Contract Duration: 6 months (temp to perm potential)
  • Pay Rate: $20.00 $25.00 / Hour (USD)
  • Shift / Schedule: Monday Friday, 8:00 AM 4:30 PM | 40 hours/week | 30-minute unpaid lunch break | No weekend or holiday requirements

Job Summary

Department Coordinators play an integral part in the operations of our community-based physician practices. Dedicated to administrative support, these Coordinators serve as the gatekeepers of our practices and ensure that teams are delivering the highest quality experience, exceeding our patients' expectations. Performs both administrative and clinical functions to support smooth and efficient clinical service or practice operations under minimal supervision. Performs administrative duties related to patient visits, including scheduling, check-in, and check-out duties (performs all duties of the other levels at the highest proficiency level). Actual job duties may vary by Department. This role sits at the front desk, supporting clinical scheduling and front desk check-in.

Key Responsibilities

  • Perform routine administrative and clerical duties relating to a clinical service or physician practice office.
  • Make patient appointments and maintain appointment records. Assist callers with routine inquiries and schedule appointments.
  • Process patient billing forms and scan documents to patient medical records/LMR.
  • Act as "Super User" for scheduling, registration, and billing systems.
  • Provide assistance and training to others in these areas.
  • May perform more complex or specialized functions (i.e., surgical scheduling, schedule changes/blocking) at a more advanced competency level.
  • Provide functional guidance to Office and Practice Assistants.
  • In conjunction with the Supervisor, oversee the daily activities of practice staff.
  • May be required to accept co-payments.
  • Handle, screen, and/or take messages related to prior authorizations, provider questions, prescription refills, and test results.

Required Skills

  • Previous front desk / customer service experience in healthcare
  • Front desk scheduling experience in Epic Epic experience is required
  • Experience collecting co-payments

Preferred Skills

  • Previous experience working with surgeons / clinical scheduling

Education Requirements

  • High school diploma or equivalent required
  • Associate's degree preferred

Required Experience

  • Minimum of two years of medical office experience preferred
