POSITION OVERVIEW

Reporting to the Director of the Center for Career & Professional Development, the Administrative Coordinator is responsible for providing customer service and administrative support to the Center for Career & Professional Development constituents and staff.

DUTIES

  • Serve as the front-line point of contact of CCPD, delivering positive first impressions in person, virtually, and by phone/email for all constituents - students, staff, faculty, alumni, employers/recruiters, parents, etc.
  • Assess constituent needs, answer questions, deliver resources, and make appropriate referrals, including scheduling appointments and engaging Career Cafe guests.
  • Provide logistical support for daily office operations, all forms of correspondence, filing, supply inventory/ordering, and budget record keeping and projections.
  • Assist with oversight of student staff engaged in supporting related tasks.
  • Support logistics for all CCPD programming efforts and on-campus recruitment activities (such as appointment calendars, communicate with recruiters/vendors, event coordination including job fairs, reservations, catering, etc.)
  • Attend weekly team meetings and periodic project meetings with the director and other team members.
  • Assist with marketing and social media efforts to drive student engagement with department.

ADDITIONAL DUTIES

  • Assist with the overall administration and office operations.
  • Assist with program implementation.
  • Monitor office equipment needs for desktop stations, copier, scanners, and printers, etc.
  • Perform other duties as assigned by the director.

QUALIFICATIONS

  • High School diploma or equivalent.
  • Minimum of one year of professional experience.
  • Ability to attend work consistently and maintain a regular work schedule.
  • Commitment to providing outstanding customer service, including outstanding telephone and electronic (i.e., email) etiquette and listening skills.
  • Ability to work both independently and as a member of a team.
  • Ability to establish, maintain, and accurately file alphabetically and numerically.
  • Ability to read, understand, and follow written and oral instructions.
  • Demonstrated prior experience using computers, ability to learn software programs, and possessing excellent word processing skills.
  • Excellent oral, written, and interpersonal communication skills.
  • Possess basic spelling, grammar, punctuation, and proofreading skills.
  • Excellent organizational skills and the ability to handle multiple tasks with a keen attention to detail.
  • Flexibility regarding changing priorities.
  • Excellent problem solving ability.
  • Possess the applications of tact, diplomacy, sensitivity, and confidentiality.
  • Ability to coordinate and manage team calendar schedules, travel arrangements, meeting arrangements, and other related activities.
  • Skill utilizing software such as Microsoft Office, Google Suite, and social media.
  • Knowledge, understanding, and acceptance of cultural differences and the diversity within the campus and community.

Further preferred qualifications which are also desirable for performing the listed duties.

  • Bachelor's degree or some college education.
  • Three years of office administration work and customer service experience.
  • Experience working in an education setting (K-12, university, etc.).
  • Experience in event planning.
  • Experience in business development and/or recruiting.

ADDITIONAL INFORMATION

Starting annual salary: $20.33 per hour. The final offer for the successful candidate will be commensurate with experience and may exceed the starting hourly wage.
