    Administrative Construction Coordinator

    Job at a Glance
    Location: Portland, Oregon (Onsite)
    Contract: W2 only, 6 month contract with potential for extension or conversion to full time with either the client or CEI
    Pay: $25-30/hour + optional medical, dental, vision, 401(k) match

    Overview
    The Construction Administrative Coordinator supports construction projects by collecting and processing contractor-submitted information, ensuring documentation accuracy, and managing data within various systems. This adaptable role involves heavy data entry, stakeholder communication, and process documentation, supporting the ongoing effort to replace PGE poles annually.

    Key Responsibilities

    • Collect and process contracted submitted forms using Microsoft Forms and Planner
    • Heavy data entry and task management in work order management and scheduling systems
    • Validates processing accuracy using dashboards and reports
    • Data clean up using dashboards and reports
    • Verify work order completion for accounting
    • Support Management of Group Mailbox: Review, route and/or process emails for the team
    • Insert and update work order management tasks associated with acquired information
    • Attach documentation acquired via email in a variety of systems
    • Maintain process instructions for contractor submittal forms
    • Support training new staff on process instructions

    Required Skills

    • Strong proficiency with Excel and Microsoft Office Suite
    • Comfort level working in Outlook and various data management systems
    • Interpersonal skills with professional and diplomatic communication
    • Patience and persistence in follow-up and inquiry
    • Ability to multitask and navigate multiple computer applications daily
    • Focus, accuracy, and speed in high-volume data entry
    • Ability to independently make decisions and seek guidance when necessary
    • Adaptability and flexibility in a fast-paced environment
    • Ability to recognize and respect diverse work and customer groups

    Required Education

    • High school diploma plus 2+ years of experience in a progressive administrative support and secretarial positions, project administration, or equivalent combination of education and experience

    Preferred Skills

    • Utilities experience (strongly preferred)
    • RFI processing/management
    • Construction or construction project management experience
