Administrative Assistant Job Summary Provides administrative and operational support to business units and departmental teams by coordinating office activities, managing records, preparing reports, and supporting daily business operations. Serves as a key point of contact for employees, vendors, and internal stakeholders while ensuring efficient administrative processes and exceptional customer service. Key Responsibilities " Provide administrative support to assigned departments and leadership teams. " Maintain employee attendance, timekeeping, and related reporting. " Process expense reports and assist with reimbursement activities. " Manage filing systems and maintain organized records. " Order and maintain office supplies and equipment. " Coordinate travel arrangements and related logistics. " Schedule meetings, coordinate calendars, and prepare meeting materials. " Gather, compile, and analyze data; prepare reports and presentations. " Maintain records retention and document management processes. " Support organizational safety, compliance, and business initiatives. " Coordinate communication with vendors and service providers regarding office equipment and administrative services. " Assist with employee programs, recognition activities, and departmental events. " Support workforce administration activities, including leave tracking and personnel documentation. " Review and verify documentation for accuracy and completeness. " Provide backup support for administrative functions across departments as needed. " Deliver excellent customer service to internal and external stakeholders. Education & Experience " High school diploma or equivalent required. " Associate degree, vocational training, or relevant certification preferred. " Three to five years of administrative support experience preferred. " Experience with business, financial, human resources, or timekeeping systems preferred. " Experience coordinating meetings, travel, calendars, and report preparation required. " Accounts payable or expense processing experience preferred. " Strong proficiency in Microsoft Office applications required. " Experience supporting multiple departments and working in a fast-paced environment preferred. Knowledge, Skills & Abilities " Positive attitude and strong ethical standards.
