    About the Role & Team

    The Administrative Assistant role provides administrative support to the DAK Line of Business teams. While maintaining a positive and professional demeanor, the Administrative Assistant demonstrates flexibility, discretion, and strong organizational skills while managing multiple priorities. 

    With speed, accuracy, and efficiency, the position supports the organization by preparing written communication, expense reports, spreadsheets, presentations, meeting set-up and notes, supply ordering, and office building and technology support. The ability to manage multiple calendars and orchestrate meetings is essential. A strong sense of teamwork and the ability to leverage systems, technology, and organizational resources are also needed. As a contributing member of the administrative team, this role proactively helps ensure that the department is highly organized, effective, and operates at optimal capacity.

    This is a full-time hourly role and will report to the Mgr-Park Planning & Integration.

    What You Will Do

    • Serve as an information hub for leaders and cast
    • Support multiple senior managers
    • Anticipate organizational needs and drive team effectiveness through reports, invoices, and scheduling
    • Maintain an organized, professional environment
    • Deliver service-focused support
    • Prepare presentations, documents, spreadsheets, and communications for local leaders
    • Prepare/maintain meeting rooms and take meeting notes
    • Coordinate travel and prepare expense reports
    • Manage phones and calendars
    • Order supplies, track inventory, pay invoices, and coordinate timely distribution
    • Coordinate meeting logistics, set-up, and AV/videoconferencing needs
    • Manage office logistics, priorities, deadlines, follow-up, and responses
    • Support multiple leaders and prioritize needs effectively
    • Support office management, equipment, and technology needs
    • Use administrative systems, tools, programs, and technologies; share expertise across the organization
    • Support integration of new administrative technologies and systems

    Required Qualifications & Skills

    • 2+ years of experience supporting an Operations Manager or equivalent
    • Demonstrated knowledge of Walt Disney World policies, procedures, and offerings
    • Excellent written and verbal communication skills, including clean grammar
    • Ability to balance multiple responsibilities and prioritize target dates
    • Exemplify strong organizational skills and attention to detail
    • Desire to truly be effective to your leaders and co-workers, to truly commit without being asked, to build proven inter and intra-team relationships
    • Reliability in handling confidential information
    • Strong knowledge of programs such as SAP, Casual Buyer, SharePoint, Coupa, Collaboration Workspace, and Concur
    • Proficiency in Microsoft Office Suite and working within a Windows environment
    • Demonstrate an understanding of computers, phones, video teleconferencing, and office equipment
    • A calm head and steady hand to deal with the unexpected
    • Demonstrate a professional, positive, and approachable service environment, representing the brand and the leader

    Required Education

    • High School Diploma and/or equivalent work experience

    The pay rate for this role in Lake Buena Vista, FL is $22.16 to $29.72 per hour. The base pay actually offered may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience, among other factors. Select benefits may be provided as part of the compensation package, such as medical, financial, and/or other benefits, dependent on the level and position offered.
