We are seeking a detail-oriented administrative assistant to support our work order division managing projects from planning through completion. This role works closely with the project manager, contractors, and internal teams to ensure projects are organized, documented, and delivered on schedule. Working remotely is not an option for this position. Experience in construction or home maintenance is not necessary, but is helpful. We will train the right person.
Key Responsibilities
Provide administrative support for maintenance, and renovation projects
Track project schedules, budgets, and milestones
Prepare and maintain project documentation, contracts, and change orders
Coordinate communication between project manager, vendors, and homeowners
Process invoices, purchase orders, and project-related expenses
Maintain accurate records in projects
Support meetings by preparing agendas, taking notes, and tracking action items
Accompany the Project Manager to on-site visits with vendors and homeowners as needed
Qualifications
Strong organizational and time management skills
Proficiency in Microsoft Office, Excel and Outlook a must
Excellent written and verbal communication skills
Ability to manage multiple priorities with attention to detail
Preferred Skills
Basic understanding of budgets, invoices, and vendor contracts
Customer service mindset and professional demeanor
