The Administrative Assistant supports the Principal in managing the daily operations of River Cities High School, serving as a key point of contact and helping ensure a welcoming, well-organized environment for students, staff, and families.
Essential Job Functions
Principal & Administrative Support
Serves as the Administrative Assistant to the Principal of River Cities High School
Handles all correspondence and reports for the Principal
Makes appointments and maintains a calendar for the Principal
Makes arrangements for all meetings for the Principal, providing refreshments, materials, and equipment
Prepares and distributes agendas and minutes for committees designated by the Principal
Coordinates conference room bookings
Coordinates the scheduling for school vans
Handles reservations for travel and lodging
Records & Confidential Information
Maintains the filing system for River Cities High School
Prepares and distributes confidential staff materials, including evaluations and personnel documents, to authorized recipients
Collects and submits clerical evaluations and co-curricular evaluations to Central Office
Budget & Finance
Is responsible for all disbursements through the high school activity accounts; runs all reports for the activity accounts and assists in the yearly audit
Maintains the River Cities High School budget, prepares purchase orders and payment vouchers
Manages student fees
Communications & Front Office
Answers incoming calls for the Principal and the high school, providing information or relaying messages as appropriate
Resolves questions that arise daily at the high school from various departments, individuals, and community members
Serves as liaison between the community at large and individual departments and people
Assists in the creation of the monthly newsletter, daily announcements, brochures, and parent communication letters
Is responsible for all social media accounts, website management, and signage
Student Services
Supports student attendance and initiates phone calls
Supports graduation scheduling, parent notifications, programs, honors cords, fees, and Senior send-off/luncheon
Coordinates New Student Orientation and schedule pick up
Coordinates student enrollment with Lincoln High School staff
Coordinates Parent Teacher Visitation nights, open house, and other family engagement events
Coordinates Breakfast, Lunch, and other student recognition occasions
Coordinates student interviews
Triages student health concerns/needs and coordinates with the school nurse and Pupil Services as needed
Assists in maintaining the student handbook
Staff Support
Is responsible for daily management of substitutes at River Cities High School
Acts as point of contact to support staff needs
Works with high school administration on improvement of high school operations
