Job Goal:

To support the Student Services Department of Lake Geneva Schools, including the Lake Geneva Joint 1 and the Lake Geneva Genoa City Union High School Districts. To assist in the budgeting and management of the grant funds for Special Education and student services. Ability to prioritize work assignments and work in a fast-paced environment, while multitasking and being deadline-driven. Ability to handle confidential information. Strong technology skills. Demonstrated ability to build and maintain positive relationships with staff, students, and families.

Essential Duties and Responsibilities:

  • Support the director and student services staff with clerical tasks such as drafting letters, record requests, scheduling meetings, relaying information, and problem-solving as staff concerns arise.
  • Assist staff with budgeting and purchasing of supplies and equipment for the special education, student services, and related services departments. Preparation of the special education, health services, and student services budgets for approval.
  • Oversee, manage, and track Medicaid submissions in the Kompas Care platform to ensure federal and state compliance while maximizing reimbursement. Assist with compliance reporting and audits through Medicaid-associated agencies like Forward Health and Public Consulting Group (PCG).
  • Support staff with language translation services for IEP paperwork and the costs associated with that service.
  • Support student services staff in allocating funds for McKinney-Vento procedures and compliance.
  • Manage and assist with the WISEGrants financial portal that includes management of special education funds. That also includes preparing the High-Cost Special Education Claims.
  • Manage and assist with special education transportation services such as parent mileage reimbursement contracts, special education van transportation, and budgeting.
  • Support staff in reviewing budgets, allowable expenses for grant funds and reports to staff adjustments in funding procedures.
  • Support the related services staff and school psychologists with inventory and purchasing of formal assessments (digital and paper-based).
  • Other Duties as Assigned.

Physical Demands and Work Environment:

The employee has frequent contact with staff and members of the community. While performing the responsibilities of this position, the employee is regularly required to engage in conversations and is required to utilize communication skills, such as speaking and listening. The employee is required to sit, stand, and walk at regular intervals throughout the workday. Specific vision abilities required by this job include close vision, color vision, and the ability to adjust focus. Essential functions require a high level of concentration and attention to detail.
