Minuteman is seeking an Administrative Assistant who will provide support, clerical and administrative functions to the Director of Expanded Access. Major Responsibilities:
- Assist Director in coordinating general daily functions of the office.
- Assist the Expanded Access Director and instructors in monitoring progress toward program goals.
- Assist Director with the management and operations of Expanded Access Programs, including scheduling, enrollment, student information system data (Aspen).
- Assist Director with scheduling and execution of programs including orientation and certificate ceremonies.
- Assist the Director with annual handbook updates or revisions.
- Assist Director with management of student tuition fees, payments and refunds.
- Assist Director with developing and promoting Expanded Access via online and traditional marketing.
- Maintain all student information data including but not limited to enrollment, attendance, completion and employment.
- Maintain online registration system.
- Communicate admissions process to prospective students.
- Process registrations, payment information and refunds for Expanded Access programs.
- Schedule instructor interviews, admissions interviews and TABE testing appointments.
- Monitor admissions process and send acceptance packages to students.
- Prepare weekly deposits for all programs.
- Manage OSHA progress and completion, and retain copies credentials for each student.
- Maintain accurate records for state or national certification and/or licensure.
- Practices confidentiality in all matters related to students, instructors and other areas as necessary.
- Ability to communicate effectively and interact with people across cultures.
Qualifications:
- High School Diploma or GED required.
- Three or more years of administrative or clerical experience, preferably in an educational or public sector setting.
- Proficient with Microsoft 365 (including Word, Excel, and Outlook); familiarity with district software platforms such as: Aspen preferred.
- Excellent organizational and problem-solving skills.
- Strong written and verbal communication skills.
- Ability to handle diverse tasks, work independently, prioritize and multi-task.
- Strong organizational skills, attention to detail.
- Maintain confidential information.
Additional Requirements: This position includes but is not limited to: interacting with the public, walking around the school, observing students, standing for periods, occasionally lifting and carrying items up to 50 pounds, reading documents, using a computer, listening and speaking, using office equipment, maintaining energy throughout the day, and handling stress effectively. Terms of Employment:
- Full-Time, 12 month position.
- Typical Schedule: Monday through Friday, 8:00 a.m. to 4:00 p.m. Schedule may vary based on District needs and may include occasional evening hours and off-campus events, including Open House, career fairs, graduation, and other District-sponsored events.
Effective Dates of Employment: Immediately Supervisor: Director of Expanded Access Compensation:
- Salary range is $60,000 - $74,000 annually, prorated to date of hire.
