The Administrative Assistant to the Academic Affairs AVP Office is responsible for providing a variety of administrative functions, which include the performance of special assignments for the Office of Academic Affairs.

Minimum Education/Experience

High School Diploma/GED

Minimum (2) years work experience in an administrative office position.

Required Knowledge, Skills & Abilities

Knowledge:

Basic computer commands, file maintenance, and use of Microsoft Office and similar software

PHYSICAL/MENTAL DEMANDS AND WORKING CONDITIONS:

The work is light work which requires the person in this position to occasionally exert up to 20 pounds of force to grasp, lift, carry, push, pull, or otherwise move objects. Additionally, the following physical abilities are required:

Preferred Qualifications

Associate degree

More than (2) years' of administrative work experience in an institution of higher education.

Required Training

Quarterly compliance training as assigned by institution

Annual Campus Security Authority (CSA) Training

Work Hours

Normal work hours are 8:00 am to 5:00 pm Monday through Friday; however, some evenings and weekends may occasionally be required.

Job Duties (Duties Assignment Statement)

Coordinates all activities related to administrative and office management for the Associate and Assistant Vice President for Academic Affairs; coordinates travel and the reimbursement of travel for faculty and staff of Academic Affairs; and coordinates catering and facilities set-ups for Academic Affairs.

Completes travel arrangements, purchasing processes, reimbursement requests, and procurement deadlines for Associate and Assistant Vice President for Academic Affairs (for administrative meetings, conferences, and professional development) and assist in maintaining budgets for the Associate and Assistant Vice President for Academic Affairs.

Completes a variety of special projects as assigned by the Associate and Assistant Vice President for Academic Affairs.

Provides administrative support to specific committees and Directors as assigned by the Associate and Assistant Vice President for Academic Affairs.

Assists in preparation of semester/term Academic Affairs' activities or functions, (including Curriculum Guide, Faculty and Adjunct Handbooks, Academic Plan, and other updates as needed); provides assistance in the coordination of Orientation Week activities.

Assist in preparing reports, information, and correspondence as directed for submission to the Oklahoma State Regents for Higher Education and other agencies; and assist in preparation of the program reviews, and other related activities.

Provides support to and serves as backup for the Administrative Assistant for the Office of the Vice President for Academic Affairs; assists with Department activities as assigned.

Provides quality customer services; develops and maintains a professional and positive image for the Office of the Associate and Assistant Vice President for Academic Affairs with faculty, students, staff, dignitaries, and the public to ensure efficient and effective operation; and develops and maintains relationships with internal departments and appropriate external agencies to ensure effective and efficient operations.

Provides essential support for Academic Affairs for charter school authorizing activities, including maintaining and assisting with the evaluation framework, coordinating appointments, preparing/filing board materials, and supporting compliance-related reporting. Developing and maintaining systems necessary for Higher Learning Commission (HLC) accreditation, including organizing accreditation evidence, tracking support activities, and maintaining micro-credential records.

Contribute to a safe educational & working environment.

Adhere to established safety and health procedures and practices for the purpose of providing injury and illness prevention for self and others.

Complete quarterly health and safety training pursuant to OCCC's established safety and health procedures and practices.

Participate in all applicable OCCC emergency, evacuation, shelter in place drills, be prepared to take action, and assist others in taking appropriate action should a health or safety emergency occur.

This position has been identified as having significant responsibility for student and campus activities. The individual holding this position is designated as a Campus Security Authority (CSA). CSAs are required to report crimes they become aware of to the Reporting Structure at Oklahoma City Community College. Annual CSA training is required for individuals holding this position.
