The Administrative Assistant to Assistant Superintendent of Learning provides high-level administrative, operational, and organizational support to the Assistant Superintendent of Learning and the Learning department. This position plays a key role in supporting curriculum initiatives, budget management, reporting requirements, enrollment coordination, department communications, and special projects while maintaining a high level of professionalism, confidentiality, and customer service.

WHAT YOU'LL DO

  • Prepares and maintains curriculum budgets and financial records in collaboration with the Finance department and under the direction of the Assistant Superintendent using Skyward, DPI, and other applicable platforms.
  • Assists with obtaining, gathering, organizing, and preparing data for district, state, and federal reporting requirements, including ESEA grants and other compliance reporting.
  • Coordinates purchasing and ordering of materials in collaboration with directors and department chairs.
  • Researches and compiles information for the Assistant Superintendent and other administrators for reports, budget preparation, grant applications, etc.
  • Creates, edits, proofreads, and formats correspondence, reports, presentations, spreadsheets, forms, and other materials from rough drafts or corrected copy.
  • Coordinates meetings, professional development, and work sessions, including scheduling, room reservations, participant communication, and preparation of materials.
  • Manages the Assistant Superintendent's calendar, including scheduling meetings as requested.
  • Provides support and maintenance for curriculum and technology platforms utilized by the Learning department.
  • Accesses, organizes, and analyzes data to support department initiatives and decision-making.
  • Provides administrative support for Summer School programming.
  • Monitors and manages 4K to Kindergarten and K-5 enrollment numbers to assist the Assistant Superintendent with staffing and planning needs.
  • Provides support for the EC/4K Principal and other district administrators as assigned.
  • Collaborates with community and partner organizations to maintain updated Memorandums of Understanding (MOUs), including obtaining signatures and maintaining records.
  • Provides administrative support for D.C. Everest Education Foundation events as needed.
  • Supports Rollin' Readers by assisting with ordering, scheduling, attending meetings, and other program-related needs.
  • Coordinates with FABFAN (Fill a Backpack Fill a Need) to obtain school supplies for students.
  • Ensures building secretaries are aware of key changes that impact all schools.
  • Assists with Title funds budgeting, including private school allocations.
  • Serves as the back-up for the Executive Assistant to Superintendent and School Board for School Board elections, Board meetings, and expulsion hearings.
  • Learns and adapts to new software systems, technology tools, and evolving department needs.
  • Provides additional support as needed to help accomplish department goals.
  • Performs additional duties and responsibilities as assigned.

WHAT YOU'LL RECEIVE

  • $23.00 per hour or higher, depending on qualifications and experience.
