POSITION SUMMARY

The Administrative Assistant provides administrative and clerical support to Admissions and Financial Aid including serving as the Enrollment Management (EM) receptionist in the Scott Academic Center and providing front office support. This position reports to Office of the Vice President for Enrollment Management (VPEM).

POSITION DUTIES

  • Serve as Enrollment Management reception area greeter and is the first point of contact for constituents and visitors to VU. Direct all incoming telephone calls and visitors.
  • Perform technical and clerical work involving editing, proofreading, filing, word processing, spreadsheet reports, telephone communication, and copying materials.
  • Schedule unit meetings and counselor appointments - including personalized visits and financial aid appointments - and use of Enrollment Management conference rooms. May assist with managing Directors' calendars.
  • May assist Event and Visit Coordinator with personalized visits including packets, nametags, and agenda. May assist with event preparation for Undergraduate Admissions or Graduate and Nursing Admissions.
  • Maintain reception and conference rooms including hospitality supplies. Orders office and hospitality supplies for all EM units.
  • Receive correspondence and incoming mail including opening, date stamping, and distributing. Manages outgoing mail with mail room.
  • Work with confidential documents and files, including tracking into databases including Ellucian Colleague and Campus Management Radius. Assist EM data coordinators during peak processing times.
  • Maintain current Enrollment Management staff directory with contact information. Handle new staff onboarding tasks including ordering nametag, keys, IT equipment, business cards, and nameplates as appropriate and directed by VPEM Executive Assistant.
  • Additional duties as assigned.

SKILLS & QUALIFICATIONS

  • High school diploma or equivalent required; Associate's degree or some college coursework preferred.
  • One (1) year of administrative, customer service, office support, or related experience preferred.
  • Demonstrated ability to manage multiple tasks simultaneously, prioritize work, and meet deadlines in a fast-paced environment.
  • Strong organizational skills and attention to detail with the ability to maintain accurate records and handle confidential information.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint) and the ability to learn new software systems and databases.
  • Strong interpersonal, verbal, and written communication skills with the ability to provide exceptional customer service to prospective students, families, faculty, staff, and external constituents.
  • Ability to work collaboratively and effectively with individuals from diverse backgrounds and across all levels of the University.
  • Demonstrated initiative, sound judgment, and the ability to work independently while also contributing as a member of a team.
  • Sincere interest in serving students within a diverse and multicultural community and supporting their academic, spiritual, and personal development.

SALARY

This is a full-time, non-exempt, temporary position anticipated to continue through October 1, 2026, subject to business needs. The pay rate for this position is $21.00 per hour.

Placement within the salary range is commensurate upon education and experience. Posted salary range reflects anticipated hiring scale for the position. Placement at the upper range is reserved for those that demonstrate the highest level of education and experience necessary for this position. In addition to base pay, Vanguard offers a robust benefits package.
