Description

Serves to support the mission of the College and Student Services as receptionist and assistant to Student Services and cordially greets students and visitors. Provides clerical support for the Student Services personnel. From pre-admission to post-graduation, Student Services provides individualized, inclusive, student-centered programming beyond the classroom to bridge the gap between students' goals and achievement.

Position is open until filled, but priority will be given to applications received by July 5, 2026.

Primary Duties

  • Cover the Student Services Window and phone and coordinate coverage during planned time-off or meetings for the convenience of students and co-workers.
  • Performs all general office duties, including but not limited to, answering the Student Services line, making appointment for staff, taking messages, taking minutes, and scanning documents.
  • Order supplies and equipment and conduct inventory.
  • Maintains general knowledge about curriculum and workforce programs, departmental contacts and schedules.
  • Serves as initial contact person for all prospective students. Promptly respond to students with information to help meet the departments' goals for recruitment and retention percentages, including making referrals and adding names to the prospect list.
  • Processing correspondence as needed by the Student Services staff, including but not limited to, mailing acceptance letters and information packets and assisting with call lists.
  • Maintains and updates forms used by the Student Services offices.
  • Assist with technical support for students, assisting with password issues, login issues (Moodle, Self-Service, Email, etc.), downloading Microsoft Suite, finding commonly used services on Self-Service, including payment, etc.
  • Assist with online CFNC applications, Residency Determination System applications, and all required documentation.
  • Create student ID cards for new students at all three campuses.

ENTERING APPLICATIONS:

  • Imports and reviews student applications, high school transcripts, and residency statuses.
  • Responsible for the CFNC process, including updating and application for admission, retrieving applications daily, checking for RCN numbers, and staying up to date with changes to CFNC.org.
  • Assists other departments by looking up student information and residency.

OTHER DUTIES:

  • Participate in planning of registration, graduation, and enrollment management efforts.
  • Provide support during the curriculum commencement ceremony including assisting with set up and execution of the event.
  • Maintains professional and technical knowledge through reading professional publications and attending workshops and conferences as appropriate.
  • Provides input and presents ideas for marketing efforts and publications, which may include creating, designing, proofing, and printing materials.
  • Serves on various college committees.
  • Train and supervise assigned work-study in Admissions processes and answering general admissions questions.
  • Other duties as assigned.

Minimum Qualifications

Education: Associates Degreee

Experience:

  • Two years of current clerical/office management experience
  • Considerable discretion in the handling of confidential information

Knowledge, Skills, and Abilities

  • Considerable working knowledge of personal computers, word processing, and database programs, including Datatel, Microsoft Office Suite, and internet, and e-mail programs.
  • Excellent interpersonal and communication skills.
  • Ability to deal tactfully and courteously with state and local officials, college staff, students, and with members of the general public.
  • Considerable discretion in the handling of confidential information and sensitive materials.
  • Ability to maintain effective working relationships with other employees.
