Administrative Assistant - Quality Verification
Location: Mishawaka, Indiana
Hourly pay $19-$22/hr
Position SummaryOur client is seeking a detail-oriented Administrative Assistant to support Quality Verification activities within a manufacturing environment. This role is responsible for tracking and maintaining documentation throughout established approval processes, ensuring records are accurate, organized, and completed in a timely manner. The ideal candidate will have strong organizational skills, basic Microsoft Office proficiency, and the ability to manage multiple tasks while supporting a fast-paced team.
Responsibilities
- Track, organize, and maintain documentation throughout the approval and verification process
- Update Excel spreadsheets, logs, and reports to monitor document status and workflow progress
- Route documents to appropriate team members and obtain required approvals and signatures
- Provide administrative support including filing, scanning, record management, and scheduling assistance
- Assist in preparing materials for internal reviews, meetings, and presentations
- Maintain electronic and physical records in accordance with department procedures
- Support special projects and additional administrative tasks as assigned
- Communicate effectively with team members to ensure timely completion of documentation and workflow requirements
Knowledge and Skills
- High School Diploma or GED required
- 0-2 years of administrative, clerical, or office support experience preferred
- Entry-level candidates with strong organizational skills are encouraged to apply
- Proficiency with Microsoft Office applications, including Excel, Outlook, and Word
- Experience with SharePoint is a plus
- Strong attention to detail and accuracy
- Excellent organizational and time management skills
- Ability to follow established procedures and maintain document control processes
- Ability to manage multiple priorities while maintaining quality and accuracy
Physical Requirements
- Regularly use a computer and read detailed reports, documents, and spreadsheets
- Ability to maintain visual focus and accurately review documentation
- Ability to communicate effectively in person and by phone
- Must be able to hear and understand verbal instructions and workplace communications
Work Environment
- Position operates in both office and manufacturing plant environments
- May be assigned to specific shifts or working hours based on business needs
- Exposure to varying conditions including temperature fluctuations, manufacturing equipment, and intermittent loud noise
- Requires close attention to detail and the ability to perform repetitive tasks accurately
- Ability to work effectively as part of a team in a fast-paced environment
- Must follow established procedures and safety requirements at all times
- Strong concentration and focus are required to ensure accuracy and quality of work
