Administrative Assistant

Position Overview

We are seeking a detail-oriented and organized Administrative Assistant to support daily office operations and provide administrative support to management and staff. The ideal candidate will possess strong communication skills, excellent organizational abilities, and the capability to manage multiple priorities in a fast-paced environment.

Key Responsibilities

  • Answer and direct incoming phone calls in a professional manner.
  • Greet visitors and assist with front office reception duties.
  • Manage calendars, schedule meetings, and coordinate appointments.
  • Prepare, format, and distribute correspondence, reports, and other documents.
  • Maintain accurate records, filing systems, and databases.
  • Perform data entry and ensure information is updated and organized.
  • Assist with email management and respond to routine inquiries.
  • Order office supplies and maintain inventory levels.
  • Coordinate travel arrangements and expense reports as needed.
  • Support various departments with administrative projects and special assignments.
  • Maintain confidentiality when handling sensitive information.
  • Assist with onboarding paperwork, reports, and other office-related tasks as requested.

Qualifications

  • High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
  • 1+ years of administrative, clerical, office support, or customer service experience.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Strong written and verbal communication skills.
  • Excellent organizational and time management abilities.
  • Ability to multitask and prioritize competing responsibilities.
  • Strong attention to detail and accuracy.
  • Professional demeanor and positive attitude.
  • Ability to work independently and collaboratively within a team environment.
