The Faith Formation Assistant provides administrative and operational support to the Director of Lifelong Faith Formation. This position plays a vital role in the successful operation of the parishs faith formation programs by managing student records, sacramental documentation, communications, registration, and program logistics. The ideal candidate is highly organized, detail-oriented, able to manage multiple priorities, and committed to supporting the Catholic Churchs mission through excellent service to parish families, catechists, and volunteers.

Duties and Responsibilities

Administrative & Office Management

  • Maintain accurate student and family records in parish databases and distribution lists.
  • Coordinate registration processes, including data entry and record maintenance.
  • Track student attendance and manage make-up assignments.
  • Ensure clear, timely, and accurate communication between the Director, families, catechists, parish staff, and volunteers.
  • Prepare weekly materials and supplies for catechists and faith formation sessions.
  • Provide administrative support to families, catechists, and volunteers.
  • Assist with preparation for meetings, classes, and special events.
  • Coordinate the weeklong Vacation Bible School in the summer.

Financial Administration

  • Track tuition payments and outstanding balances.
  • Prepare billing statements and payment reminders.

Sacramental Preparation & Records

  • Collect, verify, and maintain baptismal certificates and other required sacramental documentation.
  • Maintain confidential sacramental records in accordance with parish and Archdiocesan policies.
  • Coordinate administrative logistics for retreats, parent meetings, rehearsals, and sacramental liturgies.

Qualifications

  • A practicing Catholic in good standing who supports the teachings, mission, and values of the Catholic Church.
  • Minimum of two years of administrative experience; experience in parish or religious education ministry preferred.
  • Proficiency with Google Workspace, Microsoft Office, and database management systems.
  • Excellent written, verbal, and interpersonal communication skills.
  • Strong organizational skills with exceptional attention to detail.
  • Exercise discretion and maintain confidentiality when handling sensitive information.
  • Ability to work both independently and collaboratively as part of a parish ministry team.

Reports To

  • Director of Lifelong Faith Formation

Work Schedule

  • Part-Time (18-20 hours per week)
  • Regular office hours on Tuesday, Wednesday, and Thursday.
  • Required presence on Wednesday evenings during the Religious Education program year.
  • Availability for 10-12 additional evenings outside of the Wednesday RE nights.
  • Availability for 3-4 additional weekends annually to support sacramental retreats, rehearsals, and liturgies.

This position has an hourly salary range of - $18.00 - $22.00 per hour. An employee's pay within this range will be based on many factors including but not limited to relevant education, qualifications, experience, skills, geographic location, and organizational needs.
