The Kind of Work Youll be Doing:

Serve as Executive Assistant for LS Director, relieving the Director and, on occasion, other department leadership of a variety of technical and administrative duties.
Prepare and draft a variety of correspondence on behalf of the Director as needed; including some material that may be of a confidential nature.
Administer the Directors calendar and email correspondence by scheduling meetings, managing, organizing, and prioritizing email inboxes, while keeping the Director apprised.
Make travel arrangements for the Director, as needed; including booking air, lodging, and ground transportation for both domestic and international trips and obtaining necessary visas, insurance coverage, and cash advance requirements.
Administer Department Google groups, drives, and calendar by; updating group members accordingly, maintaining organization of drives, managing the calendar tool, scheduling a variety of meetings and events, and assisting others with use of the tools.
Administer department staffing records and processes; including organizational charts, staffing lists, hiring, transfers, and exit processes alongside HR.
Coordinate logistics for meetings, retreats, on-site and off-site conferences, and other department events; including planning, scheduling, reserving and preparing meeting rooms, and arranging catering.
Participate in meetings and committees as needed; updating agendas, preparing materials, taking notes, managing recordings, and distributing to related staff.
