Description

Position: Administrative Assistant to the VP of Student Experience

Department: Division of Student Experience

Reports to: Vice President for Student Experience

Position Type: Hourly, Non-Exempt, Full-time, On-campus

Expected Hours of Work: Monday through Friday 8:30am-5pm, some evenings or weekends for special events on campus

Summary/Objective: To support the Vice President for Student Experience (VPSE) and the departments that come under the supervision of the VPSE.

Duties and Responsibilities

Administrative

  • Support the VPSE's calendar and phone communication including the prioritizing and scheduling of appointments with internal and external individuals.
  • Assist the eight (8) Directors and Assistant Vice President.
  • Schedule meetings, track attendance, collation and distribution of meeting materials, and meeting logistics. Take minutes at meetings and finalize meetings for distribution and filing.
  • Proofread documents and assist with creating materials, responses, correspondence, and other forms of communication for the Division, including monitoring the division's email account.
  • Performs general clerical duties to include, but not limited to, transcribing dictation, scanning, copying, filing, data entry, name tags, managing office mail, and ordering office supplies.
  • Coordinate, prepare, process and/or monitor a variety of forms, records, schedules, reports, and other documents related to assigned administrative function, ensuring timely and accurate completion/review of documents by department/university personnel and/or other individuals outside the university.
  • Manage annual edits to the Student Handbook and Course Catalogue.
  • Support divisional events, including but not limited to, Orientation and Ceremony Week.
  • Coordinates and books travel in adherence to university policies. Coordination of activities includes travel authorization, flight tickets, hotel bookings, conference registration, expense reports, etc.
  • Other duties as assigned.

Professional

  • Completes various forms including purchase requisitions, expense reports, and external agreements.
  • Interpret standard policies and procedures to staff, process special requests, investigate and resolve problems, and refer staff as necessary to the Vice President for appropriate action.
  • Undertake special assignments and projects on a wide variety of issues as requested by the VPSE.
  • Secure timely payments goods and services.
  • Transact with students, faculty, and staff in support of departments across the Division.

Qualifications

  • Bachelor's degree in business or related field
  • Minimum of three years of Administrative Assistant experience
  • Excellent interpersonal, written, and oral communication skills to interact with all levels of internal and external constituents in a professional manner
  • Strong attention to detail
  • Should possess writing skills to edit grammatical errors
  • Adaptable and flexible to make changes and meet deadlines
  • Work effectively under pressure
  • Ability to learn and interpret a variety of policies and procedures
  • Well-developed computer skills including Microsoft 360
  • Have the ability to give accurate reports and data promptly
  • Ability to handle high-level information with extreme sensitivity and confidentiality
  • Should be able to determine when to act independently and when to refer problems to administration
  • Strong analytical skills and demonstrated ability to manage time, and to multi-task
  • Must take initiative to solve problems and meet deadlines
