Job Title: Administrative Assistant, Office of Registrar
Reports To: Registrar
Status: Non-Exempt, Full Time
Location: On Campus
Summary/Objective
This position supports the work and personnel of the Registrar's Office collaborating with multiple personnel across campus.
Essential Functions
- Support the day-to-day operations of the Registrar's Office.
- Provide administrative support to the Registrar and Registrar's Office staff including registration, add/drop, withdrawal, enrollment verification, transcript processing, commencement, grading, and other academic cycle activities.
- Serve as front-line contact for students, faculty, staff, parents, alumni, and other external personnel.
- Respond to inquiries received in person, by telephone, email, and other communication platforms.
- Maintain professional, courteous, and timely communication with all personnel.
- Provide general information regarding Registrar's Office policies, procedures, academic records, registration, enrollment, and related services.
- Direct complex or specialized inquiries to the appropriate Registrar's Office staff member or campus department.
- Maintain and order office supplies and materials.
- Assist with the receipt, organization, processing, and filing of student records and Registrar-related documentation.
- Ensure that documents and records are accurately filed and readily accessible to authorized personnel.
- Assist with periodic review and organization of departmental records.
- Maintain confidentiality of student information and records in accordance with FERPA and institutional policies.
- Assist with the preparation and distribution of forms, communication, and materials related to academic and registration processes.
- Support the processing and tracking of requests received by the Registrar's Office.
- Process invoices and purchase requisitions, expense vouchers, requests for payment, and other financial documentation in accordance with institutional procedures.
- Track departmental purchases and maintain related records as assigned.
- Other duties as assigned.
Skills/Abilities
- Ability to set priorities and manage multiple projects (in addition to being flexible and able to produce with a quick turnaround)
- High degree of organizational skills, attention to detail, and problem-solving ability
- Capacity to work independently, with minimal supervision, and as a team member
- Aptitude for working with quantitative information
Supervisory Responsibilities
This position has no supervisory responsibilities or direct reports.
Required Education and Experience
- Two years of experience in office setting preferred.
- HS Diploma or equivalent.
- Excellent interpersonal and communication skills.
- Proficiency in MS Office Suite specifically Outlook and Excel.
- Some experience in a higher education setting.
Work Authorization/Security Clearance Requirements
Must be authorized to work in the United States. MSMC does not sponsor employment visas at this time.
