Defense Executive Assistant
Category: Contract (12 months; potential for extension or conversion based on performance and business needs)Work Location: Onsite (New Hudson, Michigan area)
Compensation: $32–$37/hour
Position OverviewThe Defense Executive Assistant plays a key role in supporting senior leadership within a fast-paced, high-security engineering environment. This position provides direct administrative support to executive-level leadership while also supporting engineering and operations teams, including a strong focus on combat vehicle and robotics programs.This is a highly visible, hands-on role requiring strong judgment, organization, and discretion. The ideal candidate is proactive, confident, and able to manage shifting priorities while maintaining professionalism in a demanding and confidential setting.
Key ResponsibilitiesExecutive Support
- Provide direct administrative support to senior executives, including calendar management, meeting coordination, and travel arrangements
- Prepare, edit, and maintain presentations, reports, and executive communications
- Track priorities, deadlines, and action items to ensure timely follow-up
- Act as a liaison between executives, internal teams, and external stakeholders
- Support preparation for high-level meetings, including leadership and government-related engagements
Office Management
- Oversee daily office operations to maintain an organized and efficient work environment
- Manage office supplies, vendors, and facility needs
- Coordinate onboarding logistics including workspace setup and system access
- Plan and support internal meetings, events, and team activities
- Maintain and improve office processes and organizational systems
Technical & Cross-Functional Coordination
- Partner with engineering and technical teams to coordinate meetings, reviews, and project updates
- Support technical documentation, version control, and structured file management
- Assist with program reviews, customer briefings, and internal reporting
- Bridge communication between technical and non-technical stakeholders
Operations & Compliance Support
- Assist with expense reporting, invoice tracking, and administrative finance tasks
- Support document and contract management, ensuring proper handling of sensitive information
- Maintain records in compliance with company policies and applicable regulations
- Handle confidential and controlled information with a high level of professionalism
Required Qualifications
- Minimum 5 years of experience in an Executive Assistant, Office Manager, or similar role
- Experience supporting senior executives in a fast-paced environment
- Strong organizational, communication, and problem-solving skills
- Ability to work independently and manage multiple priorities with minimal oversight
- High level of professionalism, discretion, and attention to detail
- U.S. Citizenship required
- Ability to obtain and maintain clearance or suitability for access to classified information
Preferred Qualifications
- Experience in defense, aerospace, or government contracting environments
- Familiarity with compliance frameworks such as ITAR, CMMC, or secure facility processes
- Experience supporting engineering or technical teams
- Proficiency with Microsoft Office Suite (Excel, PowerPoint, Outlook); experience with secure collaboration tools is a plus
- Strong document management and organizational systems experience
Work Environment & Expectations
- 100% onsite position in a secure facility
- Standard hours are typically 8:00 AM – 5:00 PM, with flexibility based on business needs
- Up to 5% local travel; must be able to move between nearby facilities during the workday
- Primarily office-based work with occasional lifting up to 25 lbs
