Job Title: Elementary Administrative Assistant
Reports to: Elementary Principal
Hours: 40 hours per week/40 weeks (school year) & 5 hours per week/12 weeks (summer)
Position Description:
As the first point person for students, school personnel and parents, provides appropriate communications services that foster a positive relationship. Provides logistical and secretarial support to the principal to promote efficient school operations.
Job Responsibilities:
- Performs reception responsibilities in a professional, caring, and prompt manner
- Greet and assist visitors, teachers, parents and students
- Answer incoming telephone calls, record and deliver messages to administrator and staff
- Sort mail, assists in ordering & stocking of instructional and concession supplies
- Route requests for prearranged absences and homework assignments to teachers
- Responsible for dispensing/recording of student medication
- Assist and/or help sick or injured students
- Deals with student and staff information/matters in a confidential manner
- Addresses students, staff, and parents by given names
- Performs data management and written communication duties in an accurate and thorough manner
- Effectively use computerized data bases and system-defined software for registration, attendance tracking, grade tracking and other related uses
- Complete correspondence and reports as assigned
- Record student attendance
- Process issuance of student passes, permits and tardy slips
- Prepare and duplicate programs for drama, musical and sports performances, academic assemblies
- Publish daily/weekly/monthly bulletin and/or monthly newsletters & assist in duplicating and distribution as directed by principal
- Prepare and collate field trip information and transportation
- Assemble yearbook proofs
- Assists teachers and staff in operation of office machines
- Maintains a professional appearance in the school office and work room
- Inventory and order supplies for office equipment
- Assists principal, staff, and Parent-led organizations in collecting and tracking fundraising and fee collections for field trips, etc.
- LoSec recordkeeping and assisting HR with volunteer compliance
- Help assist obtaining substitutes as needed
- Performs other duties as assigned
Qualifications:
- High School Diploma or GED required
- 2-4 years office experience in a school setting, preferred
- Bilingual in Spanish, preferred
- Well-developed interpersonal and communication skills
- Good planning and organizational skills; detail oriented
- Strong computer skills and literate specifically in Microsoft Word, Publisher, Excel
- Knowledgeable of office equipment including copier(s), printer and fax machines
- Professional appearance and manner
