    Waste Connections is looking for a Administrative Assistant to join our team in Maryland Heights, MO.


    The Administrative Assistant provides administrative and customer service support for landfill operations. This position is responsible for a variety of clerical, data entry, reporting, customer service, and office support functions that help ensure the efficient operation of the landfill. The Administrative Assistant works closely with site management, drivers, customers, vendors, and internal departments while maintaining accurate records and supporting compliance requirements. This role also serves as a backup to the Scale House Attendant as needed.


    Essential Duties and Responsibilities


    + Provide administrative support to landfill management and site personnel.

    + Answer and direct incoming phone calls, emails, and customer inquiries in a professional and courteous manner.

    + Maintain filing systems, records, reports, and documentation in accordance with company policies and regulatory requirements.

    + Perform data entry and maintain accurate operational, customer, vendor, and financial records.

    + Assist with invoicing, purchase orders, vendor invoices, and other accounting-related administrative tasks.

    + Prepare reports, spreadsheets, presentations, and correspondence as requested.

    + Coordinate office supplies and maintain an organized office environment.

    + Assist with meeting scheduling, travel arrangements, and other clerical duties as needed.

    + Support onboarding and personnel record maintenance for site employees.

    + Track and submit required reports and documentation to corporate departments.

    + Serve as backup for the Scale House Attendant during breaks, absences, vacations, or periods of high volume.

    + Process customer transactions at the scale house, including weighing inbound and outbound loads.

    + Accurately enter transaction data into the scale software system and collect payments when applicable.

    + Issue tickets, receipts, and related documentation to customers and drivers.

    + Verify load information and ensure compliance with site acceptance policies and procedures.

    + Maintain a positive, customer-focused environment while interacting with haulers, contractors, and the public.

    + Perform other duties as assigned to support landfill operations.


    Qualifications


    + High school diploma or GED required; associate degree preferred.

    + Minimum of 1-3 years of administrative, office support, customer service, or related experience.

    + Previous experience in a landfill, transportation, construction, industrial, or environmental services setting is preferred.

    + Experience with scale house operations, cash handling, or billing is a plus.

    + Strong organizational skills with the ability to manage multiple priorities.

    + Excellent verbal and written communication skills.

    + Strong attention to detail and accuracy.

    + Ability to work independently and as part of a team.


    Knowledge, Skills, and Abilities


    + Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and Teams.

    + Ability to learn and utilize scale software, internal databases, and reporting systems.

    + Strong customer service skills and professional demeanor.

    + Ability to handle confidential information appropriately.

    + Basic accounting, invoicing, and recordkeeping knowledge.

    + Ability to work in a fast-paced environment and adapt to changing priorities.


    Physical Requirements


    + Ability to sit, stand, walk, bend, and use office equipment throughout the workday.

    + Ability to occasionally lift up to 25 pounds.

    + Ability to work in an office environment with occasional exposure to outdoor landfill conditions, including varying weather, dust, noise, and vehicle traffic.


    Work Environment


    This position is primarily based in an office setting located at an active landfill facility. The employee may occasionally work in the scale house and will interact regularly with customers, drivers, contractors, and operational personnel. Flexibility is required to assist with scale house operations during peak periods and employee absences.

    The schedule is Monday-Friday 9:00-5:00 with rotating Saturdays 6:00-12:00.
