Administrative Assistant to their team.
Salary/Hourly Rate: $50k - $65k, commensurate with experience
Position Overview: The Administrative Assistant will provide comprehensive administrative and clerical support to the manufacturing operations, office staff, and management team. This role is critical in ensuring smooth day-to-day operations, accurate documentation, and effective communication across production, logistics, and office functions. The ideal candidate is detail-oriented, organized, and comfortable working in a fast-paced manufacturing environment.
Responsibilities of the Administrative Assistant:- Provide general administrative support to plant management and office staff, including answering phones, routing calls, and greeting visitors.
- Prepare, edit, and maintain documents, reports, spreadsheets, and presentations related to production, inventory, and scheduling.
- Assist with data entry into ERP/MRP or other manufacturing systems, including work orders, purchase orders, inventory adjustments, and shipping/receiving records.
- Coordinate meetings, appointments, and calendars; prepare meeting agendas and take and distribute minutes as needed.
- Maintain organized electronic and paper filing systems for production records, quality documentation, and compliance-related materials.
- Support HR and payroll functions as assigned, including timekeeping verification, onboarding paperwork, and training records.
- Communicate with vendors, customers, and internal departments regarding order status, shipping details, and documentation requirements.
- Order and track office and plant supplies; work with vendors to ensure timely delivery and cost-effective purchasing.
- Assist with preparation of reports for management on production metrics, inventory, and other operational data.
- Help ensure adherence to company policies, safety procedures, and quality standards in all administrative processes.
- Perform other related duties as assigned to support manufacturing and office operations.
Required Experience/Skills for the Administrative Assistant:- 2+ years of administrative or office support experience, preferably in a fast-paced environment.
- Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Excellent organizational skills and attention to detail, with the ability to manage multiple priorities.
- Strong written and verbal communication skills.
- Demonstrated reliability, punctuality, and professionalism.
- Comfortable working in or around a manufacturing/industrial environment.
Preferred Experience/Skills for the Administrative Assistant:- Experience in a manufacturing, industrial, or logistics setting.
- Familiarity with ERP/MRP systems (e.g., SAP, Oracle, NetSuite, or similar).
- Basic understanding of production processes, inventory control, and supply chain concepts.
- Experience supporting HR, payroll, or safety/compliance documentation.
- Bilingual skills (e.g., English/Spanish) are a plus.
Education Requirements:- High school diploma or GED is required.
- Associate's degree in Business Administration, Office Management, or a related field is preferred, or equivalent experience.
